Job Description

Gilead's mission is to discover, develop, and deliver therapies that will improve the lives of patients with life-threatening illnesses worldwide. The Manager, Customer & External Events will support the assigned Gilead Sciences product/brand or functional teams in developing, delivering, and managing the various advisory board strategies, plans, logistics, tactics, and resources. These teams may include relevant partners/stakeholders in the U.S. Commercial, Medical Affairs, Global Commercial Organizations, and potentially other Gilead Sciences groups. This role oversees end-to-end customer experiences for advisory boards and external meetings.

This role is located out of our Foster City CA office.

Essential Duties and Responsibilities
  • Collaborate with internal partners (primarily marketing and medical leads), stakeholders, and external partners to develop an in-depth understanding of their business needs and objectives and execute their vision.
  • Manage budget and resource allocation for assigned advisory boards/meetings. Responsible for goals and objectives meeting high standards and within budget. Ensure the most cost-efficient and effective resources are deployed to avoid redundancies in work efforts.
  • Independently manage all aspects of event development and execution, including but not limited to overall project management, vendor and agency management, executive communication, approval on key elements of the meeting or event, leadership of cross-functional steering committees, sharing best practices and developing best-in-class meeting strategies to support business objectives, drive decisions and action.
  • Manage without authority, leadership, and oversight of customer meetings to ensure consistency and continuity across the organization
  • Ensure all customer meeting activities are fully compliant with governing laws, regulations, as well as Gilead policies and procedures
  • Accountable for strategic multi-year planning, budget management and optimization, vendor management, and collaboration and partnership with Marketing, Sales, CL&D (Commercial Learning & Development), PRC, Medical, Business Conduct, peers within the Meeting & Events Department, and other internal and external partners
  • Evaluate vendor services according to industry standards and stakeholder requirements and, communicate and gain buy-in on recommendations, negotiate contracts to fulfill project and business needs while optimizing budget, significant expectation setting, and vendor management responsibilities
  • Establish (or refresh) procedures for key activities to improve overall efficiencies, streamline execution and measure effectiveness.
  • Guide team members, vendors and manage third-party staff to ensure work is aligned with meeting plans and objectives.
  • Advanced understanding and application of meeting planning principles, concepts, practices, and industry standards.
  • Experience partnering with marketing agencies, content agencies, and other logistics vendors
  • Proven ability in setting M&E strategy, attendee engagement, and pre/post meeting metrics
  • Demonstrate analytical expertise: the ability to use a combination of logic, analysis, and relevant experience to assess a situation and accurately define the problem and scope of the primary issue.
  • Demonstrate influence: excellent verbal, written, and interpersonal skills with the ability to influence senior management and establish effective working relationships with a diverse range of stakeholders
  • Demonstrate initiative: excellent task management skills, including proactivity, planning, prioritization, objective setting, meeting management and plan
  • Experience working with C-level executives
  • Able to be successful working independently as well as within the context of a team
  • Ability to think with an enterprise mindset

Basic Qualifications:

High School Degree and Eleven Year's Experience

OR

Associates Degree and Nine Years Experience

OR

Bachelor's Degree and Seven Years' Experience

OR

Masters' Degree and Five Years' Experience

Preferred Qualifications:
  • Relevant Meeting & Event Industry Management
  • Experience with Pharma Compliance and Regulatory M&E Guidelines
  • Experience with Sunshine Act reporting and pharma customer guidelines.
  • Experience in the biotech or pharmaceutical industry
  • Experience partnering with marketing agencies and other vendors
  • CMP and/or CMM certification
  • Demonstrated ability to manage and influence key stakeholders at the managerial level or higher
  • Ability to collaborate and communicate cross-functionally
  • Operations and project management experience
  • Experience taking leadership roles as assigned
  • Ability to travel up to approximately 20% domestically

    The salary range for this position is: $124,015.00 - $160,490.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package.
