Marketing Operations - Sample Operations Analyst
Manage relationships with vendors and field sales representatives. Identify dependencies and
issues within internal and external partners. Manage vendor compliance to comply with
Corporate, Divisional and Federal Regulations. In collaboration with vendors and internal
stakeholders, drive for process and business improvements.
DTP Support – Manage relationship with Field Sales Representatives and third-party fulfillment
vendor. Troubleshoot escalated iREP issues reported from the field. Address shipping and track
& trace incidents with fulfillment vendor. Manages monthly shipping reports for each franchise
that includes monthly/historical shipping data. Manages the DTP email box and Hotline phone
coverage. Responsible for working or triaging Clarify Help Desk cases assigned to Sample
Operations. Manages Acknowledgement of Content (AOC) follow ups as well as product
replacement requests. Manages the eSampling Portal as well as the eSampling target list. All
Sample Request Forms (SRF) corrections are supported by this role. Initiates Collaboration kick
off meetings with Promo (MedReg) for DTP projects.
DTP Financials – Responsible for the monthly invoicing of the DTP fulfillment vendor,
eSampling supplier, cold-chain supply vendor and freight charges. Issuing monthly chargebacks
for DTP services to each respective Franchise.
Monthly Financials – Manage budget tracker for Sample Operations and monthly and year end
accruals. Responsible for managing budget tracker for Franchises and their monthly accruals.
Create Purchase Orders and POCNs for Sample Operations PDMA activities.
Sample Management: Support the field with monthly and annual reconciliation requirements.
Conduct coordinated shipments for Field Sales Representatives with demand planners,
distribution center and third-party vendor.
System/Project Management: Identify and recommend ways to improve field tools. Prioritize and
adjust projects and tasks to meet changing business needs, dynamic working environment and
customer’s expectations. Effectively manage departmental projects. Work with internal and
external customers to drive projects, enhance processes, and provide daily support to field and
home office. Support system and process development activities. Support both internal and
BA, BS degree required or equivalent experience.
Knowledge of applicable regulations and standards affecting Pharmaceutical Products.
Successful candidate will have a minimum of 3 years’ experience in highly regulated functions.
Knowledge of pharmaceutical industry, compliance regulations and standards (PDMA)
Experience and expertise with regulatory audits and practices
Proficient in Microsoft Office Suite
Vendor Management experience
Manage multiple tasks/priorities simultaneously
Strong project management skills
Strong customer and operations focus
Understanding of pharmaceutical field sales activities, roles and behaviors
Excellent written, verbal and presentation skills
Understanding of Compliance, Legal, Med/Reg drivers and guidance
Experience in developing, deploying, and managing effective IT systems, quality control
