As Moderna continues to expand our Digital Hub in Seattle, we are seeking a proactive and dedicated Administrative Assistant to join our dynamic team. This role is perfect for an individual who embraces our "act like an owner" mindset, is ready to take responsibility, and is driven to deliver the greatest possible impact to people through mRNA medicines. While our Digital Hub is in Seattle, our headquarters is in Cambridge, Massachusetts. Your role may require extending support to our Cambridge team, including occasional coverage for the East Coast time zone. This will provide an opportunity to demonstrate your dynamic range and commitment to team-wide success.
The ideal candidate for this role is a strategic thinker and team player with a high degree of initiative and discretion who thrives in a fast-paced, constantly evolving environment. You will have a knack for managing calendars and upcoming deliverables holistically, and be instrumental in assisting with larger meetings such as quarterly town halls and office events in collaboration with our facilities coordinator and WeWork associates. Exceptional follow-through capabilities are a must, as is the ability to act with urgency when required and to close the loop effectively. Heres What Youll Do
Support and assist Digital leaders in Seattle with general administration tasks and requests.
Take ownership of calendar management and scheduling support for assigned Digital Leaders, strategically considering upcoming deliverables.
Arrange travel for Digital Leaders (domestic/international) via Concur.
Prepare expense reports for assigned Digital Leaders and approve reports for their team members via Concur.
Undertake additional duties as may be assigned from time to time.
Meetings and Events Coordination:
Coordinate standing meetings, business lunches, and other critical engagements with both internal and external stakeholders as required, ensuring our leaders teams are well-prepared and informed. Clearly communicating conflicts and need to reprioritize.
Book conference rooms and coordinate with support as required to ensure all devices are fully functional
Oversee all aspects of conference attendance registration, travel, pre-attendance prep meetings
Support the organization with general meetings, townhalls, catering coordination, etc. in partnership with our onsite support and WeWork teams.

Under Washington State law, Moderna is required to provide a reasonable estimate of the salary range for the jobs covered by this description. Base compensation for these positions in Washington State range from $72,500 to $116,000. Actual salary determinations will take into account factors such as work location, prior education and experience, job-related knowledge, and demonstrated skills. Compensation decisions are made on the facts and circumstances of each case.
