About the role:

As part of the US Oncology team, you will report to Head of US Oncology and partner with various functions and leaders.

How you will contribute:
  • Understands the annual business cycle and anticipates the leader’s needs regarding preparation for and scheduling of activities; manages the leader’s calendar; schedules meetings, calls, and other interactions based on the priorities of the leader; arranges travel; completes expense reports in a timely manner.

  • Develops an understanding of the leader’s work style and preferences; assumes responsibilities as requested by the leader.

  • Works independently and proactively by anticipating the needs of the leader and others to plan ahead and guide the leader accordingly

  • Uses appropriate tools for required work; ensures that all documents produced for the leader are of the highest quality, accuracy, and completeness. 

  • Interacts effectively with all levels of employees throughout the company; works with the leader’s staff to ensure that business decisions are made in a timely fashion while balancing the leader’s other responsibilities and commitments.

  • Schedules staff meetings; arranges meeting space or virtual meeting tools; develops staff meeting agendas and ensures that participants are prepared for the meetings, shares pre-reads where applicable; takes meeting notes and ensures that any follow-up actions resulting from the meeting are documented and completed. 

  • Leads the organization off Leadership Team Off-site meetings, trainings, team events. Partners with Event&Congress department to select meeting venues and ensures all requirements for any kind of workshops are completed on time with the highest quality.

  • Prepares documentation for payment of vendors, consultants, and suppliers; submits documentation and enters request for payments into accounting system; approves transactions; responds to inquiries from accounts payable and payees; may approve staff expense reports and other payment requests on behalf of the leader.

  • Initiates, develops, leads, and participates in improvement processes that effects the leader’s work; actively participates in team audits and resulting process improvements.

  • Understands the structure of the organization and maintains a strong network across departments; draws on network to answer questions, solve problems, and successfully execute responsibilities.

  • Partners with HR to ensure strong connection between the leader and organization’s key employees and top talent.

  • Demonstrates the highest level of confidentiality in execution of all responsibilities.

Minimum Requirements/Qualifications:
  • High school diploma/GED required. Associates degree or bachelor’s degree preferred.

  • Minimum 8 years of relevant work experience, or equivalent combination of training and experience. Some industry experience is preferred.

  • Strong PC literacy with advanced skills in Microsoft Outlook, Word, Excel, or PowerPoint. Experience with other common IT systems such as Workday, Concur, etc is preferred.

  • Excellent verbal and written communication skills.

  • Fair financial acumen

  • Ability to influence without authority

  • Organizational savy, good understanding of business

  • Strong organizational skills, and able to drive multiple tasks to successful, timely completion in a fast-paced

  • Energetic and hands-on self-starter with a desire to learn new things quickly.

  • Outstanding interpersonal skills. Sound judgment and independent initiative.
