Position

We’re looking for a skilled and dynamic Senior Administrative Assistant to support the Therapeutic Area heads in multiple departments within Clinical Research and Development. You will be an integral member of a cross-functional team consisting  of Clinical Oncology, Clinical Research Medicine, Regulatory, Early Development, and Biostatistics & Statistical Programming. You will support Eikon’s efforts through an exciting and intense time of rapid growth and change. You will handle day-to-day administrative tasks for the team and work closely with the Executive Assistant to the Executive Vice President, Chief Medical Officer to support internal and external-facing activities.

About You

You are driven to ensure meetings are productive by using your expert calendar management and scheduling capabilities. You are comfortable interacting with outside companies,  and other important thought-leaders for visits and meetings. You are confident in providing in-depth support for multiple teams across Clinical Research & Development. Overall, you are an enthusiastic team player with a strong work ethic.

What You’ll Do

  • Schedule internal and external meetings across multiple time zones.
  • Manage multiple busy calendars.
  • Reconcile monthly expense reports.
  • Proactively problem-solve and devise solutions with a “can-do”, team player attitude.
  • Handle confidential information with complete discretion.
  • Seamlessly prioritize multiple tasks, roll with sudden changes and remain nimble to the day-to-day functions of a rapidly growing company and busy team.
  • Work well independently under pressure and seek input when needed in a timely manner.
  • Partner with CMO Admin. to help keep Eikon’s Clinical group running smoothly by assisting with coverage and overflow.
  • Generate purchase orders, support invoice processing and confirm vendor payments.
  • Book flights and hotel reservations, complete conference registrations and expense reports.
  • Work with IT, HR, Facilities and other staff on behalf of those you support.
  • Perform additional administrative tasks and/or special department projects as needed.

Qualifications

  • Associate degree in a business administration, or equivalent experience.
  • 10+ years of experience in complex meeting scheduling and calendar management.
  • Attention to detail and digital/technical proficiency.
  • Strong organizational, problem-solving, and follow-up skills.
  • Experience handling highly confidential information with absolute discretion.
  • High level of proficiency with MS Office Suite and a variety of other systems such as SharePoint, Coupa, Slack, Docusign, Acrobat and the like.
  • Excellent verbal and written communication skills.
  • Highly developed ethics, integrity, collaboration, interpersonal and decision-making skills.
  • Versatile, flexible, willing to adapt to job responsibilities as required to meet the demands and opportunities of a rapidly growing company.

The expected salary range for this role is $89,000 to $102,000 depending on skills, competency, and the market demand for your expertise.
