International Services Administrator (hybrid or onsite)
Are you looking for an exciting opportunity to support an international community? The International Services Administrator position will provide programming and support services for our international community as well as administer our visa program. The person in the position will not only coordinate and manage our Visa-related programs, but also will identify and organize our cultural, social and educational enrichment programs on an ongoing basis to enhance the experience for our international population.

Programming & Support Services
Main point of contact for our international population
Ensures “whole person/whole experience” services are offered, including robust visa, relocation, and integration assistance and support
Maintains contact with our international hires from when they accept our offer of employment (including developing and creating welcome packets) to when they start and throughout their career at Gladstone. Provides resources regarding relocation, housing, commuting, childcare, schools, getting settled in the US to connecting with colleagues and building relationships.
Organizes or identifies cultural, social or educational enrichment programs on an ongoing basis to help build and maintain a strong sense of community for our international population
Facilitates opportunities for our international population to learn more about the life in the US and sharing their culture with community members
Develops and maintains the international services resources on Gladstone’s internal and external websites
Coordinates monthly lunches to develop a sense of community
Education and Training
Provides immigration related training to management and employees as needed
Develops and coordinates faculty and employee orientations for new international hires, and, for J-1 visa holders in particular
Identifies educational programs on various topics related to adjusting to life in the US
In coordination with the benefits team, set up a monthly benefits overview and education session specifically geared towards providing our international population with an overview of Gladstone benefits (health,retirement, commuter benefits,etc.)
Identifies topics for on-site presentations (“Lunch and Learns”)
Provides regular updates regarding any relevant changes and updates to immigration regulations and policies to impacted employees and management
Develops, implements, and communicates policies and procedures regarding international services
Visa Administration:
Monitors employee immigration status changes and expiration
Maintains Gladstone-sponsored J-1 program with the U.S. Department of State
Initiates, extends and terminates J-1 and H-1B visas, issuing training plans for F-1 STEM OPT, and acting as liaison function to UCSF ISSO, attorneys, and state/federal agencies pertaining to all immigration issues.
Responds to all immigration questions from candidates, employees and managers, review issues and concerns in an expedient manner and provide counsel and education in regards to immigration guidelines, legal requirements and procedures
Advises on specific candidate or employee situations and determining all possible immigration strategies prior to consulting immigration attorneys
Prepares various types of employer support letters for international employees.
Consults and collaborates with external immigration attorneys on visa and employer-sponsored permanent resident applications, including developing a case strategy based on individual and Institute needs, coordinating with outside counsel on difficult and complicated cases, drafting petitions and filing forms.
Performs other duties and special projects as assigned.
Education& Experience Requirements:
Bachelor’s degree, JD or equivalent educational and experience
3-5 years of experience in international services or directly related experience
Demonstrability to build and maintain programming directed at international community members
Experience guiding and coaching people who are new to US workplace culture
Alternate Responsible Officer designation for Department of State J Exchange Visitor Program, preferred
Demonstrated knowledge of corporate and academic U.S. immigration, including visa types and processes
Ability to multitask and respond to multiple priorities
Proven time management, project management and organizational skills
Excellent verbal and written communication skills
Ability to maintain the highest level of confidentiality and engender trust
Demonstrated exceptional attention to detail
Capable of interacting at all levels of the organization
Demonstrated ability to thrive in an environment which requires autonomy, enthusiasm and ownership over programmatic area
Strong desire to design, build and manage international services program
Agreeable to assisting other areas in People Services when needed, ie - recruitment or events
Familiarity with the Bay Area and surrounding communities preferred
Hiring Range:
$70K-$100K (DOE)
