Job Description


We are seeking a motivated, team-oriented, and highly organized Sr. Facilities Operations Specialist at our Foster City Campus with expertise in Computerized Maintenance Management Systems (CMMS) and enterprise systems.

Summary

Based in Foster City, California, the Sr. Facilities Operations Specialist will support and facilitate key activities related to CMMS and work management applications.

Key responsibilities of the role include but are not limited to:
  • Support Facility Operations on key activities related to work management systems, records management and associated database activities including contributing to cross-functional system/process improvement initiatives
  • Perform data cleansing and structuring to ensure quality data outputs
  • Generate data entry error rate reports and perform follow-up actions as needed
  • Document and facilitate the development of technology proof of concepts to evaluate new CMMS functionalities
  • Maintain user reference guides and make necessary revisions as needed. This includes Business Enabling Documents and Knowledge-Based Articles for use of SPARC Field Service Management
  • Maintain system dashboards and make proper modifications as necessary by working with key user groups
  • Assist customers and communicate effectively to identify needs for functionality or business intelligence/data.
  • Respond and engage in escalated asset management issues, escalating to technical and administrative support as needed
  • Monitor and track inventory of CMMS asset labels and place order as needed
  • Perform account maintenance for Tableau to ensure all CMMS users have access to all periodic reports
  • Maintain the Approved Supplier List for Facilities Operations as part of inspection readiness and assist vendor managers in submitting the proper forms for any changes/updates
  • Perform annual records review to ensure compliance with record retention schedule
  • Support key compliance audits and activities including logistics, mobilizing area resources and subject matter experts during regulatory inspections and internal audits
  • Support contract management related tasks including initiating contract renewal for subscription-based services and PO creation
  • Participate in global CMMS core team meetings in improving processes and functionality across the enterprise while ensuring systems are compliant with site policies and procedures
  • Collect and compile data in the deployment and testing of new CMMS functionality across site facilities operations
  • Develop and maintain key business reports in Tableau and Crystal
  • Perform business administration activities for CMMS including periodic maintenance
  • Assist users in resolving system problems through the appropriate choice of error detection and correction, process control and improvement, or process design strategies collaborating with subject matter experts (SMEs) and data specialists
  • Maintain administrative activities related to utility billing management (water, electric) for Foster City site
  • Assist with key tasks related to the Corporate Operations Alert program including development of process improvements and participating in peer review process to ensure alert notifications meet the standard requirements prior to distribution
  • Generate and issue key management reports and create ad-hoc reports as requested
  • Perform additional activities for support site operations as necessary


Requirements
  • Bachelors + 5yrs or Masters + 3yrs experience in a similar position
  • Experience in pharmaceutical operations/cGMP environment highly desirable
  • Technical skills must include Advanced SQL, Data Visualization via tools like Tableau, ThoughtSpot, Crystal Reports
  • Highly proficient in MS Suite including Access, Excel, PowerPoint, Word, Visio


Knowledge and Skills
  • Able to develop solutions to a wide range of complex problems, which require the regular use of ingenuity and innovation.
  • Good verbal and written communication skills and interpersonal skills. Able to understand and communicate CMMS and work management system solutions or needs to different internal audiences.
  • Able to work both independently and in a team environment and support multiple activities simultaneously. Determines personal work plan, and schedules tasks and activities with minimal supervision.
  • Good planning and organizational skills coupled with strong time management skills.
  • Good understanding and application of relevant principles, concepts, practices, and standards, and solid knowledge of industry practices for system applications.
  • Solid knowledge of relevant regulatory guidance, including pharmaceutical GMPs.
  • Previous experience within a commercial pharmaceutical environment desired.
  • Good analytical and problem-solving skills. Able to identify and resolve issues/problems and define potential deficiencies that could impact Gilead timelines or operations.
  • Advanced knowledge and skills with Microsoft Project, Microsoft Excel and other reporting and tracking tools.
  • Strong experience with enterprise systems such as Maximo and ServiceNow FSM preferred but any relevant experience with other enterprise CMMS is acceptable.
  • Ability to write and present reports and presentations
  • Expertise at communicating information to different levels of management
  • Ability to think creatively and work collaboratively to address problems
  • This is an onsite position and the person in this role is expected to be onsite 5 days a week.


The salary range for this position is: $112,030.00 - $144,980.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
