Commercial Onboarding Coordinator - Commercial Learning + Development (Commercial Operations)

Work Location: Remote (available within the continental US)

Commercial Learning + Development, Onboarding Coordinator

The CL+D Onboarding Coordinator is a centralized role that supports the Commercial team by planning, scheduling, tracking, and organizing routine processes for the training function. The Onboarding Coordinator will need to be extremely detailed oriented, flexible, and take strong ownership of executing processes accurately. The role will sit within CL+D Learning Operations, however, they will interact with the training and onboarding teams as well as with training participants and other stakeholders as needed.

Essential Duties/Responsibilities
  • Manages CL+D rosters for all learners by tracking vacancies, new hire start dates and important training touchpoint dates and deadlines.
  • Plans and leads/co-leads welcome calls and Commercial New Hire Orientation for new field members
  • Prepares regional directors and trainers prior to new hire start date
  • Prepares and distributes all training communications such as Welcome Letter and supporting materials including invitations to all onboarding activities.
  • Improves coordination processes and utilizing new systems/tools.
  • Communicates with hiring managers/supervisors as needed to ensure participation in training events.
  • Works with Learning Operations team to confirm participant learning progress for in-person and virtual training delivery within the Learning Management System. Ensures records are complete for each training program.
  • Collaborates effectively with our vendor and agency partners.
  • May supports in-person and virtual classroom set-up and break-down (materials, technology, etc.).
  • Follows up with managers on learner progress and prepares Certificates of Completion.
  • Contributes to an environment of continuous improvement: Identifies, develops and implements projects and processes to improve training quality.
  • Interacts with internal and external learners, by meeting regularly, responding to requests and explaining procedures.
  • Interprets and executes policies that affect work processes and personnel.
  • Performs other duties as assigned and modified at manager's discretion.


What you will bring to the role:
  • Bachelors Degree and 4 years relevant experience
  • Strong attention to detail. Has a process in place to ensure accuracy and communicates when issues arise.
  • Excellent communications (listening, verbal and written) and interpersonal skills, with a focus on excellent customer service
  • Ability to work independently while also being collaborative and effectively working with multiple levels of leadership and stakeholders
  • Organizational skills, time management, problem-solving, and the ability to juggle multiple tasks are all prerequisites of an effective project manager
  • Ability to solve problems quickly and effectively
  • Ability to organize and work under strict time and production deadlines, while producing quality deliverables.
  • Strong proficiency with Microsoft Office Software including Excel, PowerPoint, Word, Outlook, virtual technology (e.g. Zoom), and collaboration tools like Teams and SmartSheet.


Preferred Qualifications:
  • 2+ years of project management or training coordinator experience preferred
  • Comfortable and willing to deliver training and communication virtually via Zoom
  • Flexibility with schedule to connect with teams in various time zones


Basic Requirements:
  • High School diploma/GED and six years of experience, Associate's and five years of experience, Bachelor's and four years of experience, OR Master's with two years of experience
  • This position is remote with travel to Foster City, CA up to 15% of time, specifically during training events or department meetings.


The salary range for this position is: $94,690.00 - $122,540.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
