Join us as an Executive Coordinator, Ethics & Compliance in our Cambridge, MA office.
As the Executive Coordinator, Ethics & Compliance (E&C), you will provide comprehensive administrative support to the Head, E&C US Business Unit (USBU); Head, E&C Oncology Business Unit (OBU); and Head E&C Research & Development (R&D) and lead other administrative support for these functions.
Ethics & Compliance (E&C) will respond rapidly to changing environment and business needs, it is close to the market, and encourages ethical behavior in line with Takeda's values. By working in an agile manner E&C ensures the balance between stable structures, governance, processes and systems, and dynamic approaches to delivering innovative solutions to appropriately manage our risks.

We collaborate across all E&C teams and partner with stakeholders in Business Units / Business Franchises to embed ethics and compliance as part of the way everyone works at Takeda
Support travel and coordinates event for the team or department, including team meetings
Complete expense reports in a timely manner
Help manage and maintain calendars and schedule meetings, calls, and other interactions based on the priorities of the leader and/or function
Oversee the onboarding of new team members, including obtaining security badges, ordering equipment, managing seating, scheduling onboarding meetings and other tasks as needed
Coordinate documents and correspondence, including letters, reports, emails, presentations, memos, faxes, etc.
Collect, review, enter, and format accurate data into spreadsheets, databases and other electronic tools
Interface and communicate with internal and external stakeholders; direct people to the appropriate resources
Proactively research solutions and respond to email and phone inquiries with input from direct supervisor
Develop expertise in procurement processes and systems, serving as internal subject matter expert for the broader team. As required by the Heads, USBU, OBU and R&D, prepare documentation for creation and payment of vendors, consultants, and suppliers; submit documentation and enter requests for payments into accounting system; respond to inquiries from accounts payable and payees
Participate in the development and maintenance of improvement processes; actively participate in self- and team audits and resulting process improvements
Develop a strong network within E&C and within USBU, OBU & R&D; draw on network to answer questions, solve problems, and successfully execute responsibilities
Demonstrate strict confidentiality in execution of all responsibilities
Perform other duties as required
6+ years of experience as a personal Assistant to a leader in a corporate environment
Demonstrated experience of managing suppliers
Proven knowledge of budget management including invoices, POs, and payments
Proficient in the use of PowerPoint, Excel, Outlook calendar and e-mails, travel bookings
Excellent English verbal and written communication skills at professional level
Knowledge of procurement processes
Proven ability to juggle multiple tasks and multiple stakeholders
Pro-actively and single-handedly manages and prioritizes aspects of three leadership team members’ agendas
Self-motivated and organized and delivers on time
