The GDSI administrative coordinate is responsible to provide administrative support to the leadership team and the rest of the GDSI team. In addition, this role also provides project management/ process support on key GDSI administrative processes.

Essential duties and functions

Administrative support - this includes but not limited to:
  • Scheduling support for GDSI leadership team
  • Provide support to standard administrative needs, e.g., travel plan, expenses reimbursements, etc. as needed
  • Team events planning and execution

Key administrative process support - this includes but not limited to:
  • Work order processes
    • Support all work order steps from initiating work order requests per GDSI team members requests, submitting to system with the appropriate documentations, tracking progress and problem-solving with project managers when issues arise
    • This role will also liaison between global and local work order processes to ensure compliance and fulfill the various work order process requirements
  • Market research tracking processes
    • Support any vendor onboarding processes per project managers requests. This includes but not limited to coordinating distribution of new vendor training materials, tracking of vendors training status, vendor performance tracking, etc.
    • Support the drug safety market research tracking requirements. The role will work with market research CoE to ensure all market research information is submitted timely and accurately according to the drug safety requirements. This role will execute the process agreed by market research CoE and monitor accuracy/ timeliness of data submission
  • Budget tracking processes
    • Support the GDSI to ensure timely and accurate tracking of budget vs. actual spending
    • Maintain and update accrual tracking process based on team inputs and communicate monthly updates to the team
Basic Qualifications:

High School and Three Years' Experience

OR

Associate Degree and Two Years' Experience

OR

Bachelor's Degree

Preferred Qualifications:
  • Previous experience as administrative assistant highly preferred
  • Ability to follow SOP (Standard operating procedures) and providing efficiency in processes highly desirable
  • Good project management skills to set work targets, track progress and milestones highly desirable
  • Proactiveness, good problem solving skills, ability to work with multiple teams highly preferred


The salary range for this position is: $104,125.00 - $134,750.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
