About the Position

This Executive Assistant role will support Ben Liu, TrialSpark’s CEO and Co-Founder. His daily schedule requires fast-paced coordination for high priority internal and external meetings, last minute travel, and general organizational management. You will be responsible for planning meetings with external subject matter experts, pharmaceutical companies, biotech companies, investors and a diverse set of strategic partners, globally. You’ll anticipate and resolve his administrative and operational needs before they even arise, ensuring the CEO can focus on his core priorities. You will become familiar with all key teams and leaders at TrialSpark to be able to coordinate seamlessly internally, and you will partner closely with the CEO’s Chief of Staff, as well as additional executive assistants at the company. 

This position will likely expand over time to supporting multiple executives in addition to the CEO as the company leadership team grows. 

Responsibilities

  • Managing a range of administrative duties including coordinating multiple calendars, organizing external and internal meetings (virtual and in-person), and arranging extensive travel and accommodation (often last minute)
  • Organizing internal and external events, off-sites, and conferences 
  • Working on ad hoc organizational projects for the CEO 
  • Being available “on-call” as needed (evenings and weekends for urgent matters)

About You 

Key qualifications for this role include:

  • Undergraduate degree or higher in a relevant discipline
  • 4 years or more experience providing support to senior leadership, while navigating multiple stakeholders in a fast-paced environment; meaningful experience liaising with executive teams is required
  • Extensive experience collaborating with external executive assistants
  • Professional correspondence style for internal and external communications
  • Well-organized, self-starter with a “can do” attitude: This role will involve lots of multitasking and you’ll regularly be called upon to use your initiative
  • Tact, diplomacy, and discretion: You’ll be working across all teams and will be privy to sensitive information
  • Speed and sense of urgency: It is crucial that our work be done quickly and with a sense of urgency, without sacrificing quality
  • Excitement for the mission: We’re passionate about bringing medical treatments to patients faster, and think it’s important you are too
  • Kind, thoughtful, and low ego: We look for folks who have these attributes, as we think they are key contributors to a great company culture

 

We offer competitive compensation because we want to hire the best people and reward them for their contributions to our mission. We pay all employees competitively relative to the New York City market, regardless of their location. In compliance with NYC’s pay transparency law and in pursuit of pay equity and fairness, we publish salary ranges for all open roles at TrialSpark. The target salary range for this role is $91000 - $120000.
