General Scope and Summary

SAGE Therapeutics is searching for a creative, resourceful, integrative thinker for an important role that is responsible for supporting operational success within PPA. This position will function under the guidance and direction of the Senior Director, Portfolio Operations and Program Management as well as the Senior Director, Alliance Management. The successful candidate will be an independent and proactive team player who is motivated by their contributions to the success of not only the PPA team, but Sage overall.

Roles and Responsibilities

Operations and Communications:

  • Coordinate development of agendas, take meeting minutes, and maintain oversight of action items from PPA functional meetings, Portfolio Operations meetings, and internal Alliance Management team meetings.

  • Maintain a master calendar to track key PPA, Program, and Alliance deliverables and ensure that key stakeholders have advance reminders of due dates.

  • Assist in the development and review of monthly program reports.

  • Facilitate the build, transfer of information, and ongoing maintenance of documentation across functional and/or programs and alliances through SharePoint sites or other digital tools.

Administration:

  • In collaboration with Alliance partners and Sages Administrative team, schedule key alliance meetings, including all Joint Committee meetings, and facilitating planning, agenda building, and documentation.

  • Support scheduling, planning, and execution of departmental and/or program related meetings, including routine and individual workshops.

  • Provide administrative support to the PPA Leadership Team, with duties including support of calendaring, meeting set-up, ordering and contracting logistics, and maintaining documentation as directed.

Experience, Education and Specialized Knowledge and Skills

Must thrive working in a fast-paced, innovative environment while remaining flexible, proactive, resourceful, and efficient. Must have excellent interpersonal skills, the ability to develop important relationships with key stakeholders, the ability to identify issues and raise to key stakeholders in order to develop relevant and realistic plans, programs, and recommendations, and good conflict resolution skills.

Basic Qualifications

  • 2+ years of experience in high-volume project coordination and management.

Preferred Qualifications

  • Must possess excellent communication skills and relationship building capabilities, as well as a proven ability to influence decision-making without authority.

  • Strong team player that has a customer service approach and is solution-oriented.

  • Demonstrated interest and ability to proactively raise and solution areas for improvement and best practices.

  • Attention to detail and the ability to work individually, within a multi-disciplinary team, as well as with external partners and vendors.

  • Flexible and able to pivot quickly and adapt to changes with a solution-focused approach and work independently to address impacts of changes.

  • Must be able to actively manage and track multiple complex projects in parallel, managing the actions of many people toward shared outcomes.

  • Advanced proficiency with Microsoft tools, including Outlook, SharePoint, PowerPoint, and MS Office Suite.

  • Experience working with senior management, consulting with key business stakeholders across all levels, and handling confidential information.

  • Advanced proficiency in digital communication tools such as Zoom, Teams, etc.

  • Prior experience in pharma and/or biotech.
