Maintenance Planner

The Maintenance Planner is responsible for delivering Planned Predictable Performance for Facilities Operations and Maintenance. The Maintenance Planner is responsible for planning and coordinating activities related to routine/non-routine maintenance activities, supporting and providing technical advice related to Preventative Maintenance/Repair activities of cGMP production equipment, utilities, and instrumentation associated with Manufacturing and Utilities Operations under limited supervision.

Specific Job Responsibilities include:
  • Establish and maintain equipment SOP's, job plans, and maintenance records
  • Develop job plans per specified standards (Ex. OEM) including identification of preventative maintenance steps, spare parts, safety considerations and requirements, etc.
  • Work with maintenance staff, equipment owners, vendors, etc. to find windows for scheduling of work that minimizes schedule disruptions and facilitates longer term scheduling horizons
  • Support level loading of resources
  • Estimate work-order completion times and material usage and compare to actuals. Drive correction of inconsistencies
  • Translate department maintenance strategies and work order requests into effective, detailed job plans for repetitive and non-repetitive maintenance work.
  • Collaborate with the execution team and site scheduling to ensure all production impacting maintenance activities are dispatched and resourced appropriately.
  • Track, verify and maintain high team performance levels based on established metrics.
  • Collaborate with scheduling for leveling demand against available capacity and ensuring that all constraints to the schedule are considered (customers, materials and labor).
  • Coordinate proper safety permitting and provides control of shutdowns, startups, and building services in support of building projects.
  • Establishes service contracts with contractors and communicate timelines, support and access.
  • Review accuracy of job plans and service agreements to ensure maintenance is in line with recommended tasks and best practices.
  • Maintain intermediate to high computer skills necessary to access CMMS work order system, update equipment history, and access parts/material inventory management system.
  • Develop and maintain standard workflow process
  • Communicate clearly, understand and acknowledge verbal instructions, and be able to read and interpret work from drawings, written work orders, sketches, blueprints, and technical manuals.
  • Effectively manage the work order backlog, maintaining an accurate and up to date log of pending work.
  • Perform field inspections for work orders as appropriate.
  • Provides guidance for troubleshooting of equipment failures, alarms, and repetitive service requests to identify solutions to prevent future occurrences.
  • Responds to and diagnoses urgent and recurring issues that potentially halt production and development activities.
  • Plans, executes and tracks a variety of maintenance projects.
  • Researches, identifies, and implements maintenance best practices.
  • Oversees contract workforce and ensures contractual requirements are being met.
  • Ownership and SME of Quality Records (deviations, CAPAs, CMs) as required
  • Implements systems for tracking project progress.
  • Supports and contributes to site continuous improvement initiatives.
  • Ensures that all Maintenance SOPs are kept up to date and reflect current regulatory requirements.
  • Directs team activities, multiple projects of significant complexity and risk, adhering to schedule, budget and resource requirements.
  • Understands and applies root cause analysis principles.
  • Drives and or assists with new asset inductions and modifications to maintenance strategies of existing assets.
  • Required to respond to emergency notifications via phone and work off shifts as needed.
  • Performs multi-shift work as required.


Minimum Education & Experience Requirements:
  • High School Diploma AND 3+ years of relevant experience working multi-trade environment and interacting with vendors, contractors and in-house technicians.


Preferred Experience
  • Proficiency in various computer programs such as MS Word, Access, Excel, Project, Outlook, etc
  • Metric development, visualization, and tracking
  • Demonstrated ability in effective scheduling, planning, estimating, and workflow processes in a maintenance environment.
  • Excellent organizational, verbal and written communications skills required.
  • Knowledge of life science production systems (Reactors, autoclaves, etc.), Clean Utilities Systems (WFI Generation System, RODI, etc.), and Plant Utilities Systems (Boilers, Chilled Water Systems, etc.)
  • Knowledge of LOTO practices and NFPA 70E guidelines
  • Previous experience in biotech or pharmaceuticals industry
  • Experience with maintenance management systems (i.e. Maximo) and Asset induction and management processes
