The Frederick National Laboratory is a Federally Funded Research and Development Center (FFRDC) sponsored by the National Cancer Institute (NCI) and operated by Leidos Biomedical Research, Inc.  The lab addresses some of the most urgent and intractable problems in the biomedical sciences in cancer and AIDS, drug development and first-in-human clinical trials, applications of nanotechnology in medicine, and rapid response to emerging threats of infectious diseases.

POSITION OVERVIEW

Frederick National Laboratory is dedicated to improving human health through the discovery and innovation in the biomedical sciences, focusing on cancer, AIDS and emerging infectious diseases.  The Executive Office Administrative Team supports business operations and activities for the President, Chief Operating Officer, Chief Science Officer, and other members in the Executive Suite. This dynamic role is an opportunity to make a great impact utilizing highly evolved organizational and judgment skills in support of the mission. This exciting opportunity requires superior attention to detail and the ability to meet tight deadlines while managing numerous responsibilities. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with all levels of the organization, including the Executive Leadership Team and staff is essential.

KEY ROLES/RESPONSIBILITIES

  • Providing administrative support to the President, Chief Operating Officer, Chief Science Officer, and Directors in the Executive Suite
  • Coordinate the program workflow and daily priorities by managing schedules and anticipating steps ahead
  • Schedule meetings, seminars, and compose meeting minutes as requested
  • Prepare internal and external correspondence and memos
  • Receive and refer electronic communications and calls appropriately
  • Coordinate travel and/or conference arrangements, travel package submissions, and expense reimbursements
  • Facilitate purchase requests and reconciliations utilizing ERP systems
  • Maintain documents and trackers in an organized manner
  • Point of contact for ensuring required trainings are completed by staff
  • Responsible for property accountability
  • Submit work orders for Executive Suite
  • Additional ad hoc administrative support as requested

BASIC QUALIFICATIONS

To be considered for this position, you must minimally meet the knowledge, skills, and abilities listed below:

  • Possession of high school diploma or equivalent.  Foreign degrees must be evaluated for U.S. equivalency
  • In addition to educational requirements, a minimum of five (5) years of progressively responsible administrative support experience
  • Proficiency in Microsoft Office
  • Experience with leadership level calendar management
  • Ability to obtain and maintain a security clearance

PREFERRED QUALIFICATIONS

Candidates with these desired skills will be given preferential consideration:

  • Experience with executive level calendar management
  • Experience with procurement
  • Experience with Deltek, Costpoint, Corcentric or another related ERP systems
  • Professional, friendly demeanor with a positive attitude, and desire to be helpful to others
  • Team player with excellent interpersonal, organizational, attention to detail, time management, and communication skills
  • Enthusiasm for innovation, organizational development, and acceleration of cancer research
  • Ability to maintain a high level of integrity and handle office politics and sensitive matters with objectivity and confidentiality
  • Ability to independently coordinate and prioritize multiple tasks
