ASSOCIATE STUDY COORDINATOR

General Summary

This position is responsible for performing diverse duties to support both government and commercial studies within the Drug Development Division. Individuals in this role will be mentored by Senior Scientist supervisor, as well as more experienced Study Coordinator(s), to learn how to provide study support by assisting in the planning, scheduling, and execution of study tasks; client communication; and compiling, managing, and reviewing study data. The Associate Study Coordinator will work closely with the Principal Investigator, Co-Principal Investigator, Study Director/Scientist, Study Coordinators, assigned project team members, and associated management for the program.

Essential Duties & Responsibilities

  • Interacts with assigned Subject Matter Expert, Study Director, and Project Manager to effectively execute, conduct, and report for all assigned studies.
  • Assists in the initiation or amendment of studies and drafting of Animal Care Use Protocols (ACUP), Biological Project Registration (BPR), study protocols/work requests; distributing to appropriate teams following Study Director/Responsible Scientist review and approval.
  • Tracks progress of studies to ensure timely execution of activities and communicates any changes to study timelines to internal and external teams. 
  • Works with Study Director/Responsible Scientist and/or Study Coordinator(s) in preparation and review of data; ensures quality control is performed and corrections are made prior to submission to report writing team.
  • Assures adherence to study schedules by interacting effectively with and providing information to various staff and client groups; prompts individuals and groups of needed results and approaching deadlines; and coordinates needs of one group or person with those of another group or person.
  • Demonstrates strong organization and communication skills while assisting with multiple projects in various stages of completion.
  • Collects, compiles, summarizes, maintains, and archives study data.
  • Assists with communicating schedule and procurement requests.
  • Maintains study records and archive study data and reports upon study conclusion.
  • Coordinates meetings, teleconferences, and prepare minutes as requested.
  • Performs other duties as required by their supervisor.
  • Works with Study Coordinator(s) or Study Director to learn how to enter data into spreadsheets or other computerized systems. Performs basic statistical calculations such as means, standard deviations, and percentages as needed. 
  • Works with Provantis Administrator to learn how to setup and review study protocols ahead of study start.
  • Prepares and/or maintains data, resource, and critical document tracking sheets over multiple projects.
  • Assists with the initiation of studies by preparing, editing, and distributing all study associated documents and forms; obtains study and/or protocol approvals from the Principal Investigator/Study Director; and coordinates study schedules, as needed.
  • Works with Study Coordinator or Study Director to review study data for missing, inaccurate, or improbable results and for adherence to regulatory and/or client requirements and resolves data collection problems as needed.
  • Assures adherence to study schedules by interacting effectively with and providing information to various staff and client groups; prompts individuals and groups of needed results and approaching deadlines; and coordinates needs of one group or person with those of another group or person.
  • Assists in resolving scheduling problems.
  • Observes appropriate safety and study requirements by reading, understanding, and following Standard Operating Procedures (SOP), Good Laboratory Practice (GLP) requirements, and study protocols.
  • Acts as team player with high capacity to work independently.

Requirements/Minimum Qualifications

  • Bachelor of Science (BS) with at least 2 years of experience.
  • Ability to learn and utilize specialty software applications (e.g., laboratory information management systems, Provantis, MS Project).
  • Good grasp of the fundamental concepts, practices, and procedures of microbiology/ virology/ immunology/ biology.
  • Effective verbal and written communication skills including correct grammar, spelling, and punctuation.
  • Detail oriented; possess good planning and organizational skills; inquisitive; takes direction well.
  • Proficiency with Microsoft Office applications (Windows, Word, Excel, Access, etc.).
  • Strong organization skills and capable of multi-tasking.
  • Must be able to work in the U.S. without employer sponsorship.

Essential Functions/Competencies

  • Ability to interact with others in a cooperative, persuasive, and tactful manner.
  • Ability to read, understand, retain, and apply knowledge of Good Laboratory Practices (GLP) and other study requirements.
  • Ability to type at a reasonable rate of speed and accuracy.
  • Willing to work extended hours when necessary

Physical Demands

  • Ability to perform work utilizing a computer for extended periods of time.
  • Ability to sit for extended periods of time without being able to leave the work area.
  • Ability to stand for extended periods of time without being able to leave the work area.
  • Ability to climb ladders and stairs in performing the work.
  • Ability to walk for reasonable distances in performing the work.
