Description

This is a hands-on, non-supervisory position in which the incumbent provides comprehensive support for programs assigned to the Reference Standards Laboratory. The incumbent also manages databases and other reporting tools critical to the operation and efficiency of the department. Working with laboratory management and staff, the incumbent will support the overall operations, program management, Quality Management Systems, contracts, analyzing and reporting of metrics, and coordination with external vendors. The incumbent will work closely with various GLTO departments, legal, project management and QA functions.

Roles and Responsibilities

  • Creates and manages RSL reporting tools as needed to support day-to-day operations and to improve the efficiency of the department.
  • Supports RS pipeline management by providing necessary information to facilitate the timely release of Reference Standards. Tabulate the monthly metrics, project summaries and other reports using Tableau and related tools.
  • Manages all incoming project requests including, but not limited to assignment of project number, accurate and timely log in of tests into the LMS.
  • Responds to general inquiries and issues that can be handled directly.
  • Keeps abreast of USPs policies, mission, and activities; uses discretion in handling sensitive issues and in determining issues that require the attention of the management.
  • Establishes and maintains a variety of files and records; handles sensitive files and correspondence in a manner consistent with the appropriate levels of confidentiality.
  • Coordinates projects to ensure accurate and timely completion with the integration of various levels of USP management and outside contacts.
  • Provides support for special projects upon request of the management and other staff as needed.
  • Creates and maintains contracts in Determine.
  • Works with management and staff to develop, improve, and standardize laboratory/departmental-related practices.
  • Ensures proper storage and maintenance of documents and provide document management support.
  • Manage other special projects. Example: Assisting with movement of G drive to SharePoint.
  • Work with Finance to reconcile budgets, and quarterly predictions and reporting.
  • Facilitates group interactions through interpersonal and tool-based skills to achieve project goals.
  • Tracks data from multiple sources, provides data entry for internal laboratory systems, and generates reports and queries for systems supporting the collaborative testing and other activities in the Reference Standards Laboratory.
  • Develops and maintains spreadsheets, documents, and reports supporting areas such as staff training, laboratory materials, budgets, and others.

Basic Qualifications

  • Bachelors degree and five years of responsible professional experience required.
  • High level of proficiency with office technologies and computer applications including MS Word, MS Excel, MS Access, MS PowerPoint, MS Project, Data analytics software, Tableau and other reporting tools

Preferred Qualifications

  • Excellent interpersonal and organizational skills.
  • Excellent verbal and written communication skills with proven ability to articulate and present complex analysis.
  • USP experience and/or experience in the pharmaceutical or biotech industries a plus.
  • Familiarity with scientific/technical terminology preferred.
  • Readily learns new or specialty software applications. Ability to work independently and meet deadlines.
  • Proven capability to support internal and external clients.
  • Manages areas of responsibility under regular direction, and appropriately escalates issues. Conveys a professional image through their actions.
