Summary of the Position:

Reporting to the Sr. Manager, Distribution, this position will be responsible for the function of receiving internal delivery of materials consumed by staff, as well as bulk materials that will become USP Reference Standards; the role manages finished goods of USP reference standard inventory, ships hazardous and nonhazardous materials for the USP Rockville and USP Frederick staff, along with mailroom operations. This is an independent contributor position responsible for receiving all items at USP Rockville and USP Frederick, completing necessary recording of receipts and delivery of items to requestors throughout the Rockville and Frederick USP Campus. The incumbent will ensure quick and accurate delivery of items purchased as well as all mail. Additionally, is responsible for maintaining and tracking the inventory of finished goods ensuring proper placement and accurate counts of inventory. Responsible for packing, labeling, generation of documentation for all shipments from USP Rockville and USP Frederick to points around the world, ensuring proper compliance with all state, federal and internal laws. This position is required to ensure proper financial counting of all USP purchases, postal expenditures, and ensure compliance with all shipping laws and regulations.

Roles and Responsibilities:

  • Manages the receipt and distributes goods ordered by USP staff for the completion of their duties, including bulk materials that will become USP Reference Standards.
  • Processes customer returns and purchased goods into the Oracle system as needed for payment of accounts payable invoices.
  • Oversees the shipment of materials leaving the USP Rockville and USP Frederick campus ensuring they are in full compliance with all state, federal, and international laws and regulations.
  • Manages mailroom operations including pickup and delivery of interoffice mail along with outgoing mail.
  • Ensures proper accounting of dollars for outgoing mail.
  • Ensures accuracy of finished goods inventory located at the USP Rockville and USP Frederick facilities and manages placement of inventory to ensure proper storage conditions are met.
  • Conducts daily cycle counts of finished goods inventory as indicated by the Oracle cycle count system.
  • Manages the disposal of inventory waste in the Distribution area, including documenting and assigning accounting codes to waste information as needed.
  • Performs other duties as assigned to support the Distribution and Receiving functions, such as picking and packing of Reference Standard orders.

Basic Qualifications (formerly Minimum Requirements)

  • High school degree, preferably an Associates.
  • Minimum of 7 years receiving experience with general knowledge of mailroom operations and shipping procedures.
  • Minimum of 5 years supervisory experience in a warehouse or mailroom environment
  • Minimum of 5 years experience in shipping dangerous goods domestically and internationally
  • Must be a U.S. Citizen or Lawful Permanent Resident

Preferred Qualifications (formerly Knowledge, Skills & Abilities)

  • Knowledge of best in class receiving processes and a desire to bring that knowledge to USP
  • Ability to create solutions to everyday issues that are creative and improve productivity while effectively using resources
  • A full understanding of all domestic and international shipping requirements for chemicals, equipment, and other commodities.
  • Prior experience in inventory management including discrepancy investigations and resolutions
  • Results driven with demonstrated successful outcomes.
  • Able to work flexible hours when needed.
  • The ability to influence without direct authority.
  • Ability and desire to work well with diverse employees and customers in a cooperative and friendly manner.
  • Ability to handle multiple priorities in a fast-paced environment.
  • Excellent written and verbal communications skills.
  • DOT/IATA trained for shipping of hazardous materials
