Job Details

We are currently searching for an Executive Assistant to independently provide support services to satisfy the overall operational objectives of the National Institute of Diabetes and Digestive and Kidney Diseases.  This is a full-time, on-site opportunity in Bethesda, MD.  

Duties & Responsibilities
  • Collaborate with and provide liaison between the NIDDK Directors Offices, and other NIH staff to achieve organizational objectives.
  • Review, edit and submit materials documents to the NIDDK Directors Offices for approval and signature.
  • Address questions and inquiries from NIH and NIDDK staff.
  • Collaborate with and provide liaison between the NIDDK Directors Offices, and other NIH staff to achieve organizational objectives.
  • Review, edit and submit materials documents to the NIDDK Directors Offices for approval and signature.
  • Gather and analyze data on NIDDK processes and programs.
  • Prepare reports, letters and other documents for review and input for programs, policies, and activities.
  • Coordinate and execute domestic and foreign travel arrangements for staff in the NIDD Directors offices; make hotel and transportation arrangements, prepare itineraries and necessary travel documents, including travel authorizations and travel vouchers.
  • Develop, format, and maintain spreadsheets to track administrative actions; provide updates.
  • Conduct follow up on action items; prepare action items and status reports for review by the NIDDK Directors Offices.
  • Collaborate with staff to coordinate, prepare, and analyze a wide array of reports and administrative data.
  • Establish and maintain a variety of subject matter and correspondence files, record connections.
  • Gather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input for programs, policies, and activities.
  • Develop, format, and maintain spreadsheets to track administrative actions; provide updates.
  • Conduct follow up on action items; prepare action items and status reports for review by the NIDDK Directors Offices.
  • Establish and maintain a variety of subject matter and correspondence files, record connections.
  • Provide status reports on the progress on managing these projects/activities and collaborating with appropriate staff.
  • Coordinate and execute domestic and foreign travel arrangements for staff in the NIDDK Directors offices; make hotel and transportation arrangements, prepare itineraries and necessary travel documents, including travel authorizations and travel vouchers.
  • Collaborate with administrative staff to ensure that all purchase requests are filled in a timely manner.

Requirements
  • Bachelor’s degree in General Business
  • Four (4) years of specialized experience plus a High School Diploma is equivalent to a Bachelor’s degree
  • Minimum of 7 years of experience
  • Strong communications skills, both oral and written
  • Excellent interpersonal, analytical, organizational and time management skills
