Job Description


In this role as a Sr Administrative Assistant, you will report into the Executive Director, Strategic Planning on our Intercontinental Region (ICR) Commercial team and be responsible for:
  • Providing administrative support, calendar management, organizes travel arrangements and processes expenses. Travel coordination includes: visa related preparation and submissions (contacting agency and filling relevant documents, coordinating appointments between travel schedule), ticketing and hotel accommodations including transportation where relevant only (critical countries), alignment with affiliate business travels including scheduling individual and customer meetings
  • Planning & coordination of conferences and internal meetings
  • Collaborating with administrative coordination staff to execute work
  • Calendar management for a busy travel schedule
  • Track, manage, and process payment and expense reports
  • Provides support in the organization of regional meetings as required.
  • Raises necessary purchase orders for relevant directors and team.
  • Organizes the itinerary and ground transportation for visiting affiliate team members as required.
  • Attend weekly Admin catch up meetings to share information and ensure best practices are defined and implemented. Works with and supports other Admins where workload or absence dictates.
  • Is responsible for updating organizational charts as required and maintaining team areas in SharePoint.
  • Prepares and assists with PowerPoint presentations as required.


Skills & Competencies:
  • Successful candidates will have significant administrative experience in a fast-paced environment.
  • Excellent verbal, written, and interpersonal skills are required.
  • Requires knowledge and understanding of administrative and office policies and procedures.
  • Must possess good proofreading and editing skills of technical documents.
  • Advanced knowledge and experience using a number of office software including PowerPoint and knowledge of Visio is desirable.
  • Works under minimal supervision.
  • Receives occasional direction from manager to perform non-routine job responsibilities and duties.


Basic Qualifications:

High School Diploma and Three Years' Experience

OR

Associate Degree and Two Years' Experience

OR

Bachelor's Degree

Preferred Qualifications:
  • Experience providing administrative support to multiple people
  • Ability to keep the big picture in mind and influence workflows accordingly
  • 3 + years administrative experience
  • Advanced knowledge and understanding of administrative and office policies and procedures
  • Exceptional professionalism to discretely handle confidential material, including sensitive financial information
  • Advanced Microsoft Office skills (Outlook, Word, PowerPoint and Excel) required
  • Superb proofreading and editing skills of technical documents
  • AA/BA preferred
