We are looking for an Administrative Coordinator II who is responsible for managing and providing administrative support to the Vice President Commercial Operations and Vice President Commercial Strategy. Responsibilities include, but are not limited to calendar management, coordination of complex meetings, reconciling expenses, and making travel arrangements.

The coordinator exercises considerable judgment and initiative with the ability to influence stakeholders and understand key relationships. Ensuring sensitive data is held in confidence is essential.

A typical day might include:

  • Proactively manage calendars for leaders and problem solve when scheduling conflicts occur.

  • Arrange and coordinate travel logistics which may include conference registration, travel and meeting itineraries, air, hotel and ground transportation, etc.

  • Reconcile expense reports for Vice Presidents.

  • Responsible for onsite meeting planning, including catering, audio visual requests, IT. Complete visitor pre-registration and provide internet access for attendees and escort guests to meeting conference rooms.

  • Coordinate vendor meetings and calls as well as quarterly Commercial Operations department meetings.

  • Collaborate with Strategic Sourcing and Procurement to manage and negotiate contracts, entering and adhering to budgetary guidelines for offsite meetings, team building and events.

  • Submit purchase requisitions and enter information into the contract management system.

  • Handle and maintain customized email distribution lists.

  • Onboard new employees inclusive of ordering preferred laptop and peripherals, securing seating assignment, etc.).

  • Coordinate Commercial Operations administrative tasks, including organization of quarterly team-building event and participate in Comm Ops newsletter editorial committee

  • Support Commercial Strategy function with ongoing research into thought leadership platforms

  • Able to prioritize, handle numerous tasks/projects simultaneously and lead projects

  • Demonstrate advanced judgment and problem-solving skills with the ability to collaborate with team members cross-functionally

  • Skillful written and verbal communication skills with the adeptness to interact across all levels of employees and management while maintaining confidentiality

  • Quick learner who can shifts gears with ease and make good decisions during change or ambiguity

  • Demonstrate a solid understanding of company policies, procedures, resources and where to find them

  • Adhere to the Regeneron Way in the execution of all professional duties

  • Strong digital literacy - MS Teams, PowerPoint, Excel, SharePoint

  • Knowledge of Concur and Oracle software helpful

To be considered for this opportunity, you have an Associate's Degree and 5+ years administrative experience with 2 years of (business function) industry experience.
