The position will support the Corporate Social Responsibility teams within Public Affairs and can be located in either Foster City or DC. Specific Responsibilities
  • Scheduling meetings (including web conferences and teleconferences) and managing team schedules in Outlook
  • Schedule team-related events
  • Arranging travel
  • Preparing expense reports
  • Process vendor contacts and invoices
  • Budget tracking
  • Manage the Grants inbox
  • Communications as needed
  • Presentation support and preparation
  • Organizing, managing and maintaining department files, processes; tracking payment of invoices and orders; managing purchase orders on Gilead internal systems and working with vendors
Essential Duties and Job FunctionsSupports ED and broader team on tasks including travel arrangements, expense processing, agreement and contract processing, meeting coordination and scheduling, and on-boarding of new employeesTracks team budget, purchase orders and invoicesGathers, collects, records, tracks and verifies information from multiple sources, and conducts internet searches as directedCreates or may assist in the creation of presentation materialsLiaises with external agencies or organizations to coordinate activitiesWorking with corporate communications function, helps to coordinate communications and logistics for external and internal eventsInteracts with a variety of internal and external stakeholdersHandles confidential information with discretion and in compliance with all regulationsKnowledge, Experience and SkillsRequires a High School diploma with 2 years related experience, or Associate Degree with 1 year administrative experienceAbility to work in a fast-paced environment with changing prioritiesExcellent verbal, written, and interpersonal skills are requiredWorks under limited supervision and may receive general direction on new lines of work or special assignmentsMust be detail-orientedRequires knowledge and understanding of administrative and office policies and proceduresIntermediate to advanced knowledge and experience using a number of MS Office software such as Excel, PowerPoint, Word, Access, etc.Refers to specific and detailed procedures and instructionsCollaborates with other teams/functions
