We are looking for a professional Receptionist II to maintain our front desk operations. Candidates must possess strong communication skills, both written and oral, the ability to multi-task efficiently in a fast-paced environment, and the ability to work autonomously and as part of a team, with initiative, discretion, confidentiality and remain calm under pressure.
Essential Duties and Responsibilities:
Receives and directs visitors, employment applicants, salespersons and customers to appropriate locations and parties. Typically operates a single or multiple position telephone system. Maintains a visitors' log and issues badges when necessary. Notifies personnel of visitor arrival. May perform related clerical work such as word processing. May use company intranet, paging or other computer-based systems. Additional duties may include filing, sorting, mail distribution and completing special clerical projects.
Applies acquired job skills and company policies and procedures to complete assigned tasks. Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted practice. Normally follows established procedures on routine work, requires instructions only on new assignments. Answers the company telephone and greet visitors. Maintains the master telephone extension list, along with updating the Company telephone and pager list. Performs miscellaneous administrative work, including typing, database input and regulation updates. Maintains vendor and emergency contact lists. Responsible for distributing pagers at direction of Facilities Management. Maintains reception area in an orderly and professional fashion. Generates name strips for mail slots and cubical location labeling. May assist in issuing keycards, along with auditing the key card database on a monthly basis. Performs other administrative duties as required.
Minimum Qualification Requirements:
Requires a minimum of a High School diploma. Equivalent experience may be accepted. A minimum of 2 years industry experience in office services is required. Experience working in the Pharmaceutical or Biotechnology industry is a plus. Good communication skills both oral and written are a must. Excellent customer service skills are a must. Good computer skills are required. Excellent organizational skills are required. Must have an ability to multi-task.
