Summary of the Position

The Senior Program Associate is a hands-on, individual contributor role that contributes to the effective and efficient implementation of activities in the Global Biologics Department reporting to the Strategic Operations Function Director. S/he will provide operational support across several functions including new business, external visibility/communications, and partnership management. Responsibilities will be balanced between project coordination work and administrative support to the department head and the Biologics Leadership Team.  The Program Associate will use facilitation experience and organization and collaboration skills to coordinate and manage department cross-cutting work including management of information and resources, budget planning, and contracts as well as staff external engagement tracking.  Other responsibilities include championing department collaboration platform development and adoption as well as contributing to department projects and initiatives as assigned.  The incumbent will work independently to produce results and effectively collaborate with department and organization stakeholders.

Roles and Responsibilities

Operational support and systems management (40%)

• Track deliverables and timelines in support of efficient and effective departmental workplan implementation.

• Manage the procurement process for consultants/vendors, including tracking deliverables and processing invoices 

• Oversee documents’ repository organization on shared drive and facilitate migration to SharePoint site. 

• Lead the planning for annual budget, collect requests from team members to approval.  Track and reconcile expenses, issue purchase orders, work with Accounting on payments and resolve any issues with vendors.

• Initiate the development of contracts, CDAs, NDAs and supplier agreements and finalize by coordinating with the Legal team to the point of contract approval and subsequently extracting contract milestones to manage.

• Manage general master calendar for the biologics program teams, and the department head. 

• Complete general scheduling for staff meetings, leadership team and cross-functional meetings including developing agendas, setting up meetings, managing background materials, and tracking action items and all decisions in MS Teams

• Champion department adoption of collaboration platform on MS Teams. Establish and maintain best practices for creation of shared resources, using MS Teams and other relevant tools. 

• Oversee documents’ repository organization on shared drive and facilitate migration to SharePoint site. 

Leadership support (40%)

• Provide operational support to the Director and VP

• Coordinate internal and external meetings, including monthly meetings; draft minutes and track action items.

• Manage general master calendar for the biologics program teams, and the department head. 

• Provide administrative support as needed

External engagement, communications and diversification (20%)

• Partner with technical and program staff to ensure high visibility at all prioritized events, including event planning support 

• Provides support to department in drafting/editing of program documentation, including assessments, surveys, reports, communications materials, briefing materials, and presentations for conferences, trainings, or workshops.  

Basic Qualifications

• Bachelor’s degree 

• Minimum of three (3) years of directly relevant experience 

• Experience supporting a diverse team with remote members

Preferred Qualifications

• Passion to become involved in the biologics area

• Ability to work effectively in fast-paced environment supporting several functions, preferably in global public health.

• Strong administrative support skills  

• Excellent interpersonal and organizational skills with attention to detail

• Demonstrates effective time management and prioritization skills

• Strong writer and communicator.

• Comfortable working with internal and external stakeholders

• Demonstrated ability to support implementation of multiple projects in a timely manner, including support to development and monitoring of budgets
