I.    JOB SUMMARY 

An Associate Project Manager will work together with the Project Manager/ Sr. Project Manager to plan and execute projects to support Bayview business and its clients. The position includes identifying clients’ or stakeholders’ project needs and objectives, creating and detailing action plan and to successfully drive and complete project(s) for the site while maintaining a repository to store project related reports and documents.

 

II.    ESSENTIAL FUNCTIONS

•    Work together with Sr. Project Manager/ Project Manger to plan and execute projects 
•    Support Sr Project Manager/ Project Manager in departmental best practices and perform other duties as assigned/required
•    Responsible for direct engagement with external/internal clients and stakeholders (effective communication)
•    Lead a cross-functional project team managing day-to-day operations and serving as the primary point of contact for the project including engagement with customers, Key stakeholders and 3rd party contractors as needed
•    Responsible for building effective cross-functional relationships (internally and externally)
•    Create and implement project plans/charters/governance and successfully overseeing their execution (strategy, scope, resources, communication, risks, decisions, priorities, and milestones)
•    Establish and maintain project timelines (i.e., collecting cross-functional dependencies, resources, schedules, and delivery commitments to incorporate into one integrated Gantt) and financial forecasts/plans/tracking
•    Facilitate effective cross-functional planning, meetings/discussions (Author and issue agendas and meeting minutes timely), identify and resolve conflicts and provide guidance/direction on critical project issues with project stakeholders. 
•    Manage risks and escalate to Sr PM/ PM and cross functional team in timely and effective manner
•    Proactively recognize and escalate fundamental and unanticipated project issues to Project Manager/Sr Project Manager, maintain risk log (including key decisions) in a timely and effective manner
•    Clearly communicate project status (create/present slides) to Project Manager/Sr. Project Manager, Emergent senior leadership, and clients 
•    Understand and manage project contractual obligations and invoice activities when tasks are completed (Coordinate with Finance and BD or others for key financial strategies)
•    Create and maintain document in a central repository aligned with departmental standard work
•    Supports the project teams writing, review and schedule of regulatory documents and health authority interactions as appropriate.
•    Provide overall project leadership (project team members, project governance teams, as applicable) and ensure team accountability for all aspects of the project and applicable subcontractor management. Maintain a project RACI.

III. MINIMUM EDUCATION, EXPERIENCE, SKILLS
•    Bachelor’s degree (Engineering or biological science)
•    Minimum 2 years of experience in a pharmaceutical or biotechnology environment with about 1 year of project management experience
•    Certification in project management is preferred (i.e., PMP, CAPM, or equivalent) 
•    Experience in a pharmaceutical or biotechnology environment is preferred
•    Experience in managing drug (small molecule), biologic, and/or vaccine development projects including government contracts and/or technology transfers are desired.
•    Excellent written and verbal communication skills and presentation skills.
•    Excellent interpersonal skills including negotiating, influencing, and active listening.
•    Proven analytical, conceptual, and problem-solving skills are required to evaluate business problems and apply knowledge to identify appropriate solutions. 
•    Excellent team building and stakeholder relationship management skills are required, with the ability to establish rapport, persuade and effectively negotiate with management and key stakeholders.
•    Familiarity with regularly used software applications of MS Office (i.e., Word, Excel, Project, OneNote, PowerPoint, and Teams) SharePoint, Visio, SAP and Smartsheet
