Summary

The incumbent will support the team in their operational day-to-day activities with a wide range of responsibilities related to budget management, project management, and administrative tasks.

This position leads the budget management process and latest estimate analysis for the assigned team. This position provides budget oversight, analytics, insights and guidance to make budget recommendations to budget owners and leadership as appropriate. This position streamlines the budget management process as appropriate, shares best practices amongst global teams as well as analyzes historical data and trends to make recommendations.

Responsibilities

Responsibilities include but are not limited to budget preparation, analysis and review of general expenditures and program operations, and conducting specialized audits. The position will act as a liaison with departmental directors, budget owners, and other key stakeholders in the finalization of the annual budget process. Identify and provide analysis of budget variances. Assist in the preparation of budget presentations as needed. This includes understanding project budget allocations, verifying monthly project costs, running monthly budget performance reports for projects and distribute them to project managers / budget owners, and assisting with communication of the budget performance reports with project managers.

This position leads the monitoring of actual spend for the departments, works with vendors, coordinates invoice processing with accounts payable, and is responsible for contract management, and manage all purchase requisitions. This position is responsible for overseeing the management of records in accordance with Record Management Program (RMP) policies and procedures. This position requires prioritization of workflow, managing projects as requested, and completing time-sensitive and critical tasks. This position requires a high degree of confidentiality. Incumbent will need to take initiative, be able to work cross-functionally and work with minimal supervision.

  • Leads Budget Management process:
    • Has holistic oversight of budget management preparation for internal and external expenses for assigned teams
    • Examines and provides budget analytics, insights and guidance to make budget recommendations to leadership / budget owners as well as challenges appropriately as needed
    • Reviews historical data and trends to make recommendations as appropriate
    • Streamlines budget management process as appropriate; partners and shares best practices with cross-functional and global teams, as appropriate
    • Based on learning throughout the current fiscal year, plan for the next fiscal year budget planning, which includes project management and alignment with Finance / HR on Work Breakdown Structure (WBS) revision to improve budget management.
    • Analyze the current fiscal year trend and plan cost center budget for assigned team for the next fiscal year in collaboration with HR and Finance based on the headcount plan provided by the department head.
    • Additional project coordination, for example WBS Structure project and other budget related projects as identified
  • Leads Actual spend monitoring and Latest Estimate:
    • On a daily and monthly basis, monitor the actual spends for both external expenses and cost center
    • On a quarterly basis, collaborate with the brand teams, check the status of tactical plans, analyze the trends of actual spends, and prepare latest estimates for external expenses and cost center. Coordinate with global teams, as needed, for inquiries about business background behind the latest estimates
    • Has holistic oversight of budget management spend monitoring and LEs for internal and external expenses
    • Work closely with finance partner to obtain LE timeline and process for timely submission
    • Provides analytics, insights and guidance to make budget recommendations to leadership / budget owners as well as challenges appropriately as needed
    • Streamlines process as appropriate; shares best practices amongst teams, creates templates, etc.
  • Contract, Purchase Order and Payment Management:
    • Guide purchasing efforts and ensure that they are aligned with the Contract Management Process.
    • Coordinate with contract requesters, Legal Affairs, Purchasing, Accounts Payable, Meeting & Events, and/or vendors, prepare master service agreements and work orders, manage electronic sign-off and purchase requisition processes. Archive contracts and other documents appropriately for record keeping.
    • Review and monitor the work orders / contracts prepared by the requesters and/or vendors.
    • Resolve any issues found or escalate any critical issues the manager.
  • Administration & Project Management
    • Coordinating and managing various team initiatives, including project and program management, as well as other administrative tasks, as needed and as assigned
    • Be the point of contact for the team for administrative requests and support and redirect to proper tools and support as needed
  • Training and Record Coordination
    • Maintain a list of access rights to departmental and cross-functional brand websites, and grant access rights upon request.
    • Oversees the management of records in accordance with applicable policies and procedures.
    • May maintain department standard operating procedures and operating guidelines, ensuring proper versions control and distribution.
    • Provides guidance, training and direction, as needed, to other employees.
    • Responsible for supporting proper onboarding of new team members


In addition, this position will be responsible for other project and program management, as well as other administrative tasks, as required by the business needs.

Education Qualifications

  • High School Diploma or equivalent required
  • Bachelor's Degree preferred

Experience Qualifications

  • Budget management and analytics and insights related to budget management in a complex global environment preferred
  • Ability to influence preferred
  • Performs a variety of complex activities for department involving the use of specific software and/or processes. preferred
  • Proficient in advanced functions and use of MS Office Suite and SAP Procurement preferred
  • Ability to assist others preferred
  • Prior use with relevant software and is able to navigate Internet and Intranet, and use technology equipment appropriately, remaining current with upgrades preferred
  • Proficient in advanced functions of and other relevant software preferred
  • Work proficiently in specialty software such as MS Access or other database applications, Desktop publishing, MS Project, MS Visio, etc., as required by the department needs preferred
  • Proficient use of internal business applications preferred
