The purpose of the Training Operations Senior Specialist role is to ensure the smooth and effective functioning of training events and special projects (face to face, virtual instructor led and on demand) by managing and coordinating the logistics and collaborating with all key stakeholders to deliver successful learning programs.

Enable Process and Operational Excellence

  • Applies seasoned Training Coordination experience to independently resolve a variety of complex problems that have significant impact on cost or efficiency of training operations
  • Identifies areas for possible improvements and proactively addresses problems within scope of responsibility
  • Regularly makes recommendations on new processes, tools and services that can impact projects in training operations
  • Modifies existing tools, techniques, and processes, with approval from leadership
  • Regularly contributes useful ideas in logistics and quality meeting sessions
  • Ability to cross train in other overlapping areas (ie Onboarding, Training Quality and Compliance)
  • Implementation of a content repository
  • Maintenance of a training budget that aligns with business priorities

Project Management
  • Demonstrates initiative with new project requests and serves as SME for training coordination and execution
  • Exercises effective interpersonal, communication, training, and problem-solving skills within Training Operations and when collaborating with key partners on project execution
  • With limited guidance, works on moderately complex assignments/projects
  • Designs and develops project management templates using O365 tools
  • Tracks and manages project schedules
  • Tracks and manages training deliverables
  • Maintains Integrated Training Calendar for Global Development Associates
  • Initiates and manages contracts, invoices as appropriate
  • Assist with the creation and development of program materials (job aids, handouts, presentation decks)
  • Supports the Onboarding function of the team
  • Supports any operational audit initiatives

Learning Technology Support
  • Assist with and manage transferring and deploying course materials to LMS (including communicating LMS requirements to vendors and completing required forms for uploading content in LMS).
  • Assists with and manage the testing of content in LMS as requested
  • Liaison to provide support for all LMS needs including adding, removing, changing content in LMS, creating certifications and tracking/reporting of training.
  • Maintain Training SharePoint Site
  • Design, Develop and maintain SharePoint Academy pages

Support Training Sessions – Virtual and Face to Face
  • Create and manage session schedules, invites, meeting links, rosters and room bookings
  • Reserve meeting rooms with appropriate A/V support for virtual or face to face
  • Coordinate catering and supplies for in person events
  • Provide online support during live virtual sessions
  • Support instructor logistics, including provision of travel guidelines and attendee rosters, and identifying room set-up/AV requirements.
  • Manage production and delivery of printed course materials where required
  • Coordinate all pre and post program activities and surveys for both face to face classroom and online training

Requirements:
  • 3+ years’ work experience preferably in Pharmaceutical or Biotech industry and Bachelor's Degree in Business, Human Resources or related work experience
  • Detail oriented with excellent organizational and interpersonal skills
  • Proficient in Microsoft Office and Outlook Calendaring System.
  • Proficient in O365 tools
  • Technological proficiency in supporting virtual learning sessions (ie MS Teams)
  • Experience working with learning management and registration systems.
