Executive Administration (EA) Responsibilities & Duties:

  • Support overflow activities from EA team as needed. This includes:
    • Assisting with conference registration and coordination
    • Arranging room blocks, hotel conference rooms, all meeting logistics. 
    • Ensure all AV preparations for meetings and video calls are set 
    • Contract support by submit CDAs and ensuring they are routed through our legal contracts system,
    • Support with domestic and international travel arrangements 
    • Support expense report preparation as needed
    • Assist in planning and coordination of company-wide events and activities
  • Facilitate internal communication, including meeting agendas, notes, presentation decks, and ownership of follow up tasks 
  • Draft and proofread memos, letters, presentations, contracts, reports, and marketing materials 
  • Maintain consistent interaction amongst the EA team and with the Chief of Staff
  • Flexible schedule and available to support the needs of the CEO and leadership team in a very dynamic environment
  • Manage confidential and non-routine information 


Qualifications and Requirements:

  • 5+ years of experience in executive support in a fast-paced environment, preferably start-up/high growth
  • Highly organized with strong project management and prioritization skills
  • Superpowers in attention to detail, organizational and planning skills, and ability to achieve results under tight deadlines
  • Self-starter with ability to take initiative, exercise judgment, and work independently; takes ownership and responsibility
  • Relationship-builder with experience supporting executives across different time zones and creating connections across a dispersed team
  • Expert scheduler with Microsoft Outlook, comfortable with frequently shifting schedules 
  • Exceptional verbal and written communications skills
  • Efficiency expert who leverages creative problem-solving skills
  • Experienced at interacting with everyone in the company and outside parties
  • Professional demeanor and a positive attitude about work and providing service – no task is too big or too small
  • High sense of ownership and responsibility
  • MS Office skills and the ability to learn unfamiliar software programs (Sharepoint; Expensify)
  • Bachelor’s degree or equivalent work experience in Executive Support and Office Management
