Our Office/Workplace Experience Manager will play a key role in creating a delightful experience for all our employees in our corporate facilities as well as when they work flexibly from home or other locations.

In this role you’ll be responsible for leading the daily operations of our corporate office in South San Francisco, partnering closely with a number of other teams across the company (IT, Legal, Laboratory Operations, etc) as well as external vendors to ensure our spaces are running smoothly and efficiently. You’ll continuously solicit feedback from employees and guests to continuously improve their experience, while also creatively finding new ways to surprise and delight them. This role will be based in South San Francisco at insitro’s global headquarters. You will report directly to our Senior Director, Facilities & Lab Operations and will also work very closely with our Chief People Officer and their leadership team.


Key responsibilities:
- Create an incredible working experience for our insitrocytes in our corporate office spaces, constantly observing and actively soliciting employee/leader feedback
- Work closely with teams (IT, People, Finance, etc.) in helping us ensure our hybrid working environment (e.g., flexibility to work from home) best and safely supports every insitrocyte and creates an excellent work experience regardless of office location
- Manage a portfolio of external vendors, holding them to a high bar and running RFPs to select and onboard new vendors as needed
- Aid in the onboarding of new hires and creating a phenomenal first impression through office tours, introducing office processes, supplying insitro swag, and more
- Plan creative events and employee engagement strategies at multiple scales (e.g., company-wide meetings, smaller celebrations, team-building activities, weekly happy hours and connection events, employee anniversaries, diverse holidays, etc.) and find inclusive ways to engage employees not on-site
- Act as communication liaison between Property Management and insitro for exchanging important information including campus and operation updates
- Assist with space planning including coordinating and executing team-specific and large-scale office moves
- Monitor inventory of office supplies, snacks and refreshments, insitro swag/merchandise, etc. and proactively anticipate needs so team members have all that they need to succeed
- Troubleshoot office equipment maintenance (e.g., cafe break room, printers, etc.) issues as they arise, resolving simple ones directly and liaising with external vendors to resolve more complex ones
- Own and maintain OSHA and worker’s compensation documentation in partnership with EH&S and People team
- Partner with other teams on employee communications including helping to organize and facilitate our weekly All Hands meeting with our CEO and using technology channels such as Slack to help create an engaging, cohesive employee experience

Requirements:
- 4+ years of relevant experience in an office operations role, ideally in a high-growth office of more than 200 employees
- Demonstrated vendor and project management experience
- Ideally proficient knowledge of G-Suite (Gmail, Google Calendar, Slides, Docs, Sheets etc.)
