What You Will Achieve

The Project Administrator (PA) will be reporting to the Head of Oncology Project Leadership in the Oncology Research & Development Group.

The PA provides administrative support to the Head of Project Leadership and to the cross-organizational project/asset teams.

Some of the key skills required are: strong organizational skills to manage multiple priorities across projects, attention to detail and strong interpersonal skills to influence and ensure on-time deliverables from members of the asset teams, ability to find solutions and implement or improve team processes.

How You Will Achieve It
  • Provide direct administrative support to the Head of Oncology Project Leadership Group, not limited to Travel & Expenses, team event planning, vendor identification and payments, new hire on boarding & supplies ordering, maintaining meeting calendars, agendas, group information distribution, and document repository maintenance.

  • Provide appropriate project administrative support to project/asset team leaders (ATLs). Responsibilities under the direction of the ATL include but are not limited to:

  • Work in close collaboration project/asset team members across Pfizer on Asset Team related deliverables. This includes but is not limited to being responsible for the creation and maintenance of team templates, team rosters, SharePoint/Teams sites and team action trackers.

  • Provide meeting management support, including scheduling meetings, developing agendas, gathering, and distributing meeting materials, supporting meeting minutes, following up on action items, storing all materials in SharePoint/One Drive/Team Sites. Arranges meetings and events as needed. Runs WebEx and Videoconferences, as needed.

  • Support the coordination and development of ad-hoc presentations.

  • Develop and administer team surveys as needed.

  • Assist with onboarding new Asset Team members and provides information and training for new project system users.

  • Assist in compiling and generating reports, timelines, tables, graphs, correspondence and presentations.

  • Assist in designing processes to enhance workflow and provide data and information to others on processes and procedures.

Qualifications

Must-Have

  • HS Diploma or GED with at least 6 years relevant experience.

  • Demonstrate expert knowledge and proficiency with general office procedures such as customer service, e-mail etiquette, commonly used office software (e.g., Microsoft 365, MS Office-Word, Excel, PowerPoint, Team Sites, SharePoint, One Drive, Microsoft Project & Snapshot (optional)

  • Possess excellent communication and coordination skills with an ability to respond with professionalism in verbal as well as written communications.

  • Able to communicate and work effectively with all levels of management. Demonstrates resourcefulness with the ability to anticipate needs. Excellent attention to detail and follow-up skills.

  • Must be independent, pro-active, self-motivated with strong organizational skills and possess the ability to manage priorities, handle multiple tasks with frequent tight deadlines, problem solve, work well in team environments, and be productive when working independently with minimal supervision.

  • Excellent judgment as well as the ability to work with confidential documents and information.

  • Able to collaborate and partner effectively across ORD functions to ensure successful execution and outcomes of key initiatives.

  • Knowledge and understanding of the roles and responsibilities of all Asset Team members and their relevant stakeholders and line management.

Nice-to-Have
  • Bachelor's Degree with some administrative experience

  • Prior experience as an Administrative Assistant supporting executive leadership in a global organization

  • Knowledge of the pharmaceutical industry and healthcare environment

  • Expert knowledge of Pfizer specific processes and procedures applicable to the line/Site (including but not limited to, ARIBA, Taulia, PT&E, ENGAGE Plus, functional area databases, Pfizer IT platforms).
