We are currently searching for a Facilities Planning Manager to independently provide support services to satisfy the overall operational objectives of the NCI/OM.  This opportunity is full-time, and it is on site in Rockville, MD.  

 

 

 

Duties & Responsibilities
  • Serve as point of contact for NCI Shady Groves seminar room logistics and events team
  • Independently operate and issue logistical plans for all high attendance conferences, seminars, site visits, and any other impactful and important collaborative meetings at the NCI Shady Grove facility and the NCI Consolidated Research Lab facility
  • Create operational and project plans which identify key stakeholders, resources and requirements, issues, problems, strategic approaches, and performance metrics
  • Coordinate time sensitive changes in conference room project and operational scope, and devise and deploy contingency plans to ensure successful outcomes
  • Develop templates and response plans to verify daily schedules and prepare all facility POCs, AV POCs, and any other individuals involved with complex projects
  • Create lessons learned reports to identify conference room operational and project elements that were successful and unsuccessful, and implement necessary and relevant adjustments to improve future instances and mitigate risks
  • Diagnose conference room and organizational policy changes that will impact future tasks, and adjust regular and recurring procedures accordingly
  • Plan, disseminate, and execute conference room setup schedules in alignment with all relevant stakeholders
  • Initiate and maintain regular communications with Conference Services Manager, EMPSB Branch Chief, and OSFM senior management to report on conference room program status as well as current and future initiatives and areas of concern
  • Participate in high level meetings and provide recommendations for optimization of conference spaces based on qualitative and quantitative reports
  • Develop systematic reporting processes and procedures and ensure timely delivery of daily, weekly, monthly, annual, and ad hoc reports in support of key departmental initiatives
  • Coordinate visitor and security information with physical security staff and security liaison, and assist liaison in alleviating security procedural bottlenecks during high volume instances
  • Provide program assistance, reporting, and correspondence with all stakeholders for OPMs Emergency Tier Designation program, EED database management, correspondence with employees, HR staff, and telework program, quarterly report contributions and analysis and any other ad hoc reporting required
  • Communicate difficult and sensitive information with any relevant stakeholders, and identify and provide problem solving solutions and resources to assist with implementing the selected solution
  • Assist in acquisition process to provide recommendations on needed and required resources to enhance conference room functionality and customer satisfaction
  • Track, store, distribute, and coordinate an inventory of conference room specific materials, supplies, and consumables for internal and external customers
  • Apply project management principles to assist in cataloguing conference room utilization raw data, measuring trends, identifying bottlenecks, applying corrective system actions, and monitoring on a continual basis

Requirements

 

Qualifications:

  • Associate degree with Facilities Management
  • At least 6 years related experience
  • Must possess certification in HVAC, electrical, etc., or have completed appropriate apprenticeships

 

 

Skills:

  • Experience with electronic physical security systems
  • Strong oral and written communication skills
  • Excellent analytical, organizational, interpersonal and time management skills
  • MS Office Suite
