The Associate Director of Grants and Contracts will manage the day-to-day operations of the department, including supervising and mentoring employees, overseeing and managing pre- and post-award business processes. The Associate Director is a collaborative leader who takes initiative for staff supervision, customer satisfaction, and process improvement. The Associate Director will serve as an exemplary model of outstanding leadership behaviors relating to integrity, creativity, and interpersonal relationships.

Responsibilities include but are not limited to the following:

  • Manage, train, support, encourage, and supervise grants and contracts staff, assuring strong productivity and quality of work in both pre-award and post-award activities:
  • Provide daily oversight to staff, including workload assessment and assignment;
  • Works with the applicable internal staff on grant and contract training and process improvement;
  • Recruit, retain, and reward talented team members;
  • Ensure team members provide excellent customer service;
  • Manage and resolve issues and complaints related to customer service.
  • Oversee and ensure compliance, including timely, compliant, and accurate submission of proposals, Just-in-Time information, responses to sponsor queries, submission of annual and close-out reports.
  • Develop and maintain reports on department operations to measure performance indicators, such as proposal submission, success/probability rates, account setup/closeout, account deficit/surplus;
  • Maintain up-to-date information on disposition of proposals and awards.
  • Supervise and facilitate the following types of communication: With People Services and Finance/Accounting staff; Between PIs and respective sponsors.
  • Other related research administration activities as needed


  • At least eight years of sponsored research administration experience, encompassing a diverse portfolio of grants/sponsored programs with proven results as a manager;
  • Current knowledge of pre and post-award areas of sponsored research administration, including federal and sponsor regulations and requirements, with specific knowledge of NIH, DoD, and NSF grants management processes and policies;
  • Demonstrated experience motivating and supervising staff, including mentoring, professional enrichment and performance evaluations;
  • Proven experience with Workday software;
  • Has knowledge of report preparation principles and techniques; financial principles and concepts; data analysis techniques;
  • Bachelor's degree is required; Certified Research Administrator certification is a plus

The successful candidate for this position will be required to work West Coast hours.
