Become an integral member of a busy, and collaborative team dedicated to supporting scientific research. The Gladstone Institutes, a nonprofit biomedical research institute located in San Francisco, CA, is seeking a responsible, resourceful, and team-oriented individual to join its Communications Department as an Event and Communications Manager.

The Event and Communications Manager will work under the direction and supervision of the Vice President of Communications. The person in this position will be responsible for planning and overseeing various events and all associated communications activities at Gladstone while adhering to our core values. You will be a key member of the Gladstone Team producing internal and external meetings and events, collaborating across the entire organization on scientific symposiums and seminars, donor events, virtual and hybrid lectures, town hall meetings.

In addition to excellent communication, writing, and organization skills, the successful candidate will operate as an independent professional while embracing a team culture. This position requires the ability to: prioritize and manage multiple tasks and deadlines; interface with various stakeholders; and exercise sound judgment.

Event Planning and Management

Perform strategic event planning, logistics, and measurement of return on investment (ROI) associated with internal and external Gladstone events. Responsible for full logistical project management, including outlining responsibilities to ensure roles are clearly defined, managing event timelines, meeting goals and objectives, remaining within budget, and evaluating success after events. Capture ROI data, including developing surveys and a survey strategy. Bring a fresh and engaging perspective to Gladstone’s events, while adhering to Gladstone’s brand and core values.

  • Develop, plan, and implement internal and external special events

  • Establish an “Office of Events and Protocols” at Gladstone

  • Proactively define event goals and objectives for each event and activity in cooperation with internal stakeholders and Vice President of Communications

  • Coordinate all details related to events, including event details and resume, food and beverage needs and selection, transportation, audiovisual activities, vendor management, and payment processing.

  • Develop a timeline, project brief, run of show, budget, and theme.

  • Provide onsite event support as needed, which may include occasional evenings and weekends.

  • Coordinate and manage two internal seminar series and two external-facing seminar series. manage an annual multi-day scientific retreat and support student-led retreats and learning days.

  • Devise a marketing strategy with the team, across multiple platforms to promote internal and external events

  • Lead event-related communications activities, including writing content for the website and email campaigns, managing various event calendars, as well as coordinating and providing strategic direction for digital and printed collateral material

  • Work with the content strategist, writers, editors, and graphic designers, to ensure consistency in accordance with Gladstone’s brand and branding guidelines

Essential Qualifications

  • Strong project management abilities

  • Multitask a myriad of events at once, meeting and exceeding multiple deadlines and/or milestones

  • Technology savvy, including the ability to easily learn and adapt to new systems

  • Ability to influence stakeholders through collaboration and strong leadership skills

  • Ability to adapt quickly and with sound judgment in high pressure situations

  • Excellent oral and written communication skills

  • Team player who is highly flexible in supporting colleagues and also independently carrying out a wide range of duties and projects

  • Effective at communicating regular status updates on work products and projects

  • Comfortable working in a fast-paced, dynamic environment on a variety of assignments

  • Strong attention to detail and ability to produce high quality, polished projects


  • Understanding of Google Suite for Business including use of Google Drive (documents, spreadsheets, and slides etc.)

  • Mac and Keynote proficient; Microsoft Office suite as well

  • Gladstone uses Asana, Dropbox, and Slack to collaborate

  • Zoom, hosting events and meetings through the platform


  • Bachelor’s Degree in Communications, Marketing, or related field

  • 5+ years of experience planning and managing events

  • 3+ years increasing responsibility in or working with a communications or marketing department

  • Certified Meeting Professional (CMP) Certification a plus
