We are looking for someone to be responsible for Shuttle and Conferencing, and Receptionist related deliverables, schedules, costs, support vendors, and procedures. Administrator for conference and shuttle related apps, technology systems, etc. Responsible for planning, organizing, and coordinating Facility Aid/Conference staff. Maintain the shuttle and conferencing process for end-users, guests, etc. Supervise and provide direction to Shuttle, Reception and Conferencing staff. Work directly with the Audio-Visual Team to ensure the conferencing/meeting space meets the presenter's requests, needs & requirements. Develop and maintain metrics, budget spreadsheets and written documentation for Shuttles, Conference, and Reception teams. Responsible for creating, proofreading and/or editing Shuttles and Conferencing content for the Regeneron website. Responsible for conference room reservation approvals and scheduling of room configurations. Works closely with the Senior Manager, Event Services and acts as their back-up. Provide general Facilities assistance and support services as needed.

A typical day may include:
  • Responsible for Tarrytown, Rockwood Road and Basking Ridge conferencing scheduling and deliverables
  • Supervise and coordinate facility aid staff and receptionist staff.
  • Administrator for conference and shuttle related apps, technology systems, etc. Ensure systems are updated and provide feedback as needed. Work closely with IT, Tririga team, etc. to answer questions, resolve issues, and provide solutions
  • Work directly with the Audio-Visual team to create the proper conferencing environment in coordination with the presenter's requests/needs.
  • Develop and maintain metrics, budget spreadsheet/s and written documentation for shuttles, conferencing, and receptionist services
  • Develop and maintain a working relationship with key internal clients, including Admins.
  • Responsible for auditorium, multi-function spaces, and managed conference rooms.
  • Coordinate conference room reservation approvals and scheduling of room configurations
  • Responsible for working with hired vendors, consultants, and contractors to answer questions, resolve issues, and provide solutions
  • Effective interaction with Regeneron employee base to provide support, including support provided under time, and/or pressure
  • Provides general facilities assistance and support services throughout site
  • Maintains customer service standards
  • Available for emergency response
  • Operation/driving of company vehicles
