Role Summary

The Administrative Assistant will provide a comprehensive range of administrative support to leadership and members of the Portfolio Decision and Analysis (PDA) group located in New York.  PDA is a highly visible, dynamic group within Pfizer and interfaces regularly with Pfizer's senior leaders.

The individual in this role will support a variety of PDA Leadership Team (PDA-LT) Meetings and
assigned PDA colleagues in responsibilities such as arranging meetings and events, documenting meeting minutes, coordinating travel arrangements, creating T&E reports and contributing to broader PDA initiatives. It is also preferred that this individual support PDA’s Knowledge Management activities and PDA’s Digital Hub in Teams.  Administrative Assistants have a central role in the PDA community and make important contributions to building our group’s culture.

Role Responsibilities​

  • Provide the full range of administrative support including managing complex calendars, scheduling high-level, time-sensitive meetings with senior stakeholders (incl. Executive Leadership Team), managing travel arrangements, and completing expenses.
  • Supports administrative activities for PDA-LT Meetings including: Bi-weekly PDA-LT meetings, Bi-weekly Roundtables, and monthly PDA All-Hands meetings including documenting discussion topics, action items, and meeting minutes
  • Demonstrate expert collaboration and communication skills  in a team environment to share knowledge, influence best-practices, and coordinate workflow. Work with colleagues located across various sites, as well as with external contacts, to coordinate schedules and priorities.
  • Play an active role in the Portfolio and Decision Analysis community, including participation and engagement in group initiatives, events, etc.
  • Assist in PDA Knowledge Management activities and administration of PDA Teams Digital Hub utilizing Microsoft Teams and SharePoint, if possible
  • Handle correspondence / documents of a confidential nature and where appropriate, respond to, create, compose and/or edit written materials and/or e-mail responses.
  • Works well in self-directed environment, with minimal instruction needed, assumes increased levels of responsibility and takes accountability for decisions and outcomes.
  • When necessary, provides basic administrative support to visiting colleagues including, but not limited to, scheduling meetings, updating travel arrangements and providing other site-specific assistance.
  • Multitasks and prioritizes well to complete projects on time and as assigned.

Qualifications

  • Candidate should have at least 5 years administrative experience that demonstrates an ability to carry out all office functions proficiently, including experience interfacing with senior management.
  • Exemplify characteristics of being a strong self-starter, independent, pro-active, and self-motivated.
  • Proven experience in executing administrative functions proficiently and on a timely basis.
  • Demonstrate resourcefulness with ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative.
  • Ability to work well both in team environment as well as operate independently with minimal supervision.
  • Possess excellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of the organization.
  • Use good judgment while working with highly sensitive, confidential material and information.
  • Must have the ability and professional demeanor to interface with senior management, international colleagues and important external stakeholders.
  • Excellent attention to detail.
  • Excellent keyboarding and proofreading skills.
  • Proficiency in MS Word, Excel, PowerPoint, Outlook, and Teams are essential.
