Laboratory Acquisition Specialist

We are currently searching for a Laboratory Acquisition Specialist to provide support to the Vaccine Production Program Laboratory.  This opportunity is full-time, and it is on site in Gaithersburg, MD.  

• Edit and format procurement documents, correspondence, and memos
• Prepare a variety of acquisition documents in final form, including Statements of Work, Synopses, Determination and Findings, Buy America Waivers, etc.
• Prepare purchase requests for a variety of equipment, supplies, and services; prepare supporting documentation
• Review purchase requests submitted by end users, ensuring accuracy in completion of order requests in NIH ordering system i.e., POTS
• Maintain approved supplier list for use by VPP staff
• Follow up on purchase and procurement requests; review receiving documentation and reconcile all receiving problems
• Enter data into spreadsheets for purchasing files, utilizing Microsoft Excel
• Follow established departmental policies, procedures, and objectives, continuous quality improvement objectives, and safety, environmental, and or infection control standards
• Perform miscellaneous job-related duties as assigned and if needed by the scientific operations manager, which include but are not limited to, performance of property checks, responding to emergencies on site, moving laboratory and other equipment, and creation movement of biohazard boxes
• Prepare, reformat, and edit statements of work from multiple sources
• Work with staff on creating, reviewing, formatting, editing, tracking, and maintaining associated files related to purchases i.e., acquisition packages, contract files, etc.
• Work with Project Managers to align long-term plans with material and equipment needs for different project imminent and future
• Work with different groups to project their needs and ensure that those needs are met with no disruption of project planning
• Perform quality assurance on data related to procurements
• Prepare SOPs on purchasing requirements and limitations for the VPPs various purchasing pathways
• Make recommendations for improving record keeping, data tracking and data utilization

• Associate degree in finance, accounting, or contract management
• At least 1-2 years of experience
