General Scope and Summary

SAGE Therapeutics is searching for a creative, resourceful, dynamic, and proactive Executive Assistant to support the leaders in our Development organization. In this position, you will be an integral contributor, acting as the organizational and communication hub for the department and working collaboratively with other departments.

Roles and Responsibilities

  • Consult with leadership as needed to solicit information and provide critical updates, while keeping track of shifting priorities in a fast-paced and quickly changing environment.

  • Remain flexible and proactive and be able to anticipate leaders' ever-changing needs.

  • Exercise tact, diplomacy, and discretion in written and verbal communications.

  • Own leader’s calendar, meetings, schedule, travel arrangements, and expense reports and prepare necessary materials for meetings and events.

  • Be a cultural champion, embracing our Core Values and keeping them in focus while supporting leaders and their teams in a fast-paced environment.

  • Be quick on your feet to analyze situations and prioritize. Remain organized while coordinating information retrieval and documentation procedures.

  • Exercise creativity, initiative, and an understanding of the leader’s and departmental objectives. May independently prepare communications and materials for leader.

  • Comfortable and experienced working with highly sensitive, time sensitive, and confidential information.

  • Independently lead special projects that require a combined knowledge of administrative needs and technical operations, i.e. event planning, various operational responsibilities, ad hoc projects, etc.

  • Respond to a wide variety of requests for information, policies and procedures, and executive action.

  • Take initiative to evaluate and refer matters for appropriate handling. Develop recommendations for executive approval.

  • Build rapport; communicate respectfully when giving feedback.

  • Mentor others and serve as a role model.

  • Be a contributing member to the Sage Administrative Operations team. This includes, but is not limited to, working closely with other administrative staff on shared travel arrangements, meetings, agenda compilation, briefings, and internal department events; provide backup administrative support to other departments as necessary and perform other duties as required.

  • Be available at various hours for business-related tasks.

Experience, Education and Specialized Knowledge and Skills

Must thrive working in a fast-paced, innovative environment while remaining flexible, proactive, resourceful, and efficient. Must have excellent interpersonal skills, the ability to develop important relationships with key stakeholders, good conflict management skills, and the ability to analyze complex issues to develop relevant and realistic plans, programs, and recommendations. Must have strong analytical skills and an ability to communicate issues in a simple way and to orchestrate plans to resolve issues.

Basic Qualifications

  • Prior Executive Assistant experience working in a busy, high-growth, and fast-paced environment.

  • AS degree with 5 years of related experience.

Preferred Qualifications

  • BA/BS degree plus biotech or pharmaceutical experience is preferred.

  • Strong computer skills, in particular Microsoft Outlook, Word, Excel, and PowerPoint. SharePoint experience a plus.

  • Administrative competence (typing, scheduling, emailing, coordinating calendars, and copying).

  • Top-notch organization skills with strong attention to detail.

  • Experience working with all levels of management and consulting with key business stakeholders. An ability to influence for greater outcomes.

  • Strong team player that has a customer service approach and is solution-oriented.

  • Possesses strong written and verbal communication skills.
