As a Facilities Services Coordinator you will provide site-wide support for the Facilities Management team to deliver client objectives. Responsibilities will include, but limited to, the card access administration and work order administration, food and beverage programs as well as cleaning, disinfecting and office space management. Excellent interpersonal skills, communication and organization skills are crucial for this position. Technical writing skills a plus to assist in developing SOP and work instructions.
You Will:
  • Assist with processing Facility and Equipment service requests using work order system (CMMS).
  • Assist security officers - Protocol documentation and communication with security operation and client manager.
  • Manage and resolve Service Now tickets. (work requests)
  • Security desk operations - Arrange for regular maintenance of equipment and internal systems (e.g. security cameras, badging system). Develop access control groups and coordination with area owners.
  • Assist with internal and external audits related to access controls and physical security.
  • Onboarding and off-boarding employees and contractors. Ensure that accounts are established based on established start dates and disabled when resources separate.
  • Restock office and kitchen supplies. Ensure office orders placed by resources are fulfilled.
  • Assist in oversight and scheduling for cleaning and disinfecting the building.
  • Manage minor malfunctions for food and/or beverage equipment.
  • Keep track of regular and ad-hoc facility expenses.
  • Conduct market research and compare costs and benefits when evaluating new vendors.
  • Maintain an updated record of external vendors. (COI, W9)
  • Ensure compliance with health and safety regulations.
  • Manage site key distribution and tracking.
  • Manage the site food program.
  • Support the Facilities Management team to deliver client objectives.
  • Maintain an efficient filing system for general building, vendor and contractor access files.
  • Manage requests for information from customers and vendors.
  • Adhere to client standards and guidelines.
  • Strong team player with the ability to change direction quickly in a fast-paced environment.
  • Contact service companies for repair as needed.
  • Completes daily and weekly facility related tasks.
  • Completes special support projects as necessary.
  • Provide consistent and effective level of service to building occupants.
  • Escorts tradespersons and vendors for repair and/or installation of equipment.
  • Manage and assist in setup for company functions and/or events.
  • Maintain and manage the condition of conference rooms and training rooms throughout the facility.
  • Conducts daily inspections of conference rooms and training rooms; correct items as necessary.
  • Monitoring and administering building access.
  • Manage service contractors for minor office installations. 

Your Background Should Include:
  • 3-5 years work experience as a Facilities Coordinator or similar role
  • Strong knowledge of facilities management operations
  • Familiarity with office equipment and security systems
  • Hands on experience with facilities management software is a plus
  • Understanding of safety regulations in a FDA regulated environment.
  • Facility Management or Business Administration experience is preferred
  • Proven record of providing excellent customer service.
  • Must be able to establish credibility with vendors, facilities team and contractors immediately, understands business requirements and priorities.
  • Excellent interpersonal, communication and organizational skills.
