The Role:   Graphite Bio is seeking a talented, dynamic, organized, and proactive seasoned Executive Assistant to support the Chief Scientific Officer and the R&D Leadership Team. The Executive Assistant will provide exceptional administrative support, take initiative, and proactively address matters with tact, diplomacy, and discretion. This role is multi-faceted and requires flexibility, adaptability, and problem-solving skills. The successful candidate has sound judgment, maintains confidentiality, and facilitates effective execution of the CSO and R&D Leadership Team’s daily activities.

What You Will Do:

  • Proactively manage complex calendars requiring prioritization of multiple calendars with effective communication across various stakeholders
  • Monitor calendar activity throughout the day, reschedule activities if conflicts arise, provide reminders of upcoming activities to ensure that appropriate time is scheduled
  • Coordinate and manage high-level planning for internal and external meetings including Scientific Committees, Scientific Advisory Boards, leadership and staff team meetings
  • Attend meetings, create agendas, take minutes, and follow up on agenda items
  • Assist with coordination and management of department all-hands, events, offsites and
  • Provide travel coordination including air and ground transportation, hotel reservations, visas, and other travel documents, as needed 
  • Provide expense reconciliation and management, including compiling receipts to file and tracking of reimbursement status
  • Responsible for ordering and setting up catering, as needed
  • Partner with administrative colleagues for company-wide events and to provide back-up support, as needed

What You Will Bring:

  • A minimum of 8 years experience in an administrative support role
  • Research and Development experience within Biotech preferred
  • Expert knowledge of MS Office applications including MS PowerPoint, Excel, Word, and Outlook required
  • Experience working with Apple MAC systems preferred
  • Strong interpersonal and communication skills
  • Proven team player with a can-do, will-do attitude
  • Highly organized with attention to detail
  • Demonstrated experience multi-tasking in a fast-paced work environment with changing priorities
  • Flexibility to be onsite- in office, as needed to effectively support the R&D team
