Who You Are:

We are looking for a detail-oriented admin who can provide executive support to our busy Chief Business Officer and Chief Scientific Officer and work on ad hoc projects for them and their teams. You will provide general support for the entire office by working with the administrative and facilities teams. You must be a clear communicator, a quick thinker, and able to show initiative. You must also be able to plan and predict and circumvent issues before they occur.

  • Act as the point of contact among executives, employees, clients, and other external partners 
  • Manage information flow in a timely and accurate manner 
  • Manage  executives’ calendars quickly, and set up or reschedule complex meetings 
  • Make travel and accommodation arrangements ensuring the executive has a detailed review of their travel plans 
  • Help executives track expenses and ensure their reports’ expenses are approved in a timely manner 
  • Create POs for new contracts, route them appropriately for approval and ensure invoices are reviewed 
  • Oversee interview process on behalf of the executives, including scheduling visits from remote candidates as needed
  • Help set up candidate interviews, presentations, and debriefs that involve the executives
  • Set time on the executive’s schedules for document review as needed
  • Format information for internal and external communication – agendas, emails, presentations, etc. 
  • Help prepare for meetings or presentations, and documents as needed 
  • Work with vendors to set up presentations 
  • Create agendas and take meeting minutes as requested
  • Track content and timing of communication with key partners as needed
  • Screen and direct phone calls and distribute correspondence 
  • Route documents appropriately for signatures and notary services 
  • Book office space and order lunches for executives and team as needed
  • Organize team-building events such as happy hours
  • Support executives with ad hoc project requests 
  • Office-wide 

  • Organize and maintain the office filing system 
  • Create new procedures for the office or specific teams to maintain organization 
  • Help formalize Standard Operating Procedures 
  • Order supplies both for individuals and the office at large as needed
  • Support office operations and ensure that the office runs smoothly 
  • Provide general administrative support and work with other admins on a variety of projects

Education, Experience & Skills Requirements:
  • BSc/BA in office administration or relevant field is preferred 
  • Proven experience as an office assistant, executive assistant, or appropriate role is required
  • Prior experience supporting C-levels is preferred
  • Ability to handle a fast-paced environment with limited direction 
  • Poised, professional, articulate, proactive 
  • Ability to prioritize tasks each day effectively 
  • Outstanding communication and interpersonal abilities  
  • Excellent organizational and leadership skills  
  • Familiarity with office management procedures and basic accounting principles  
  • Excellent knowledge of MS 365 Suite, Outlook, SharePoint 
  • Experience with Coupa and Expensify is a plus
