Your ‘day to day’:

The role of the Administrative Assistant is to free your stakeholder’s time from organizing and administrative tasks and to ensure an efficient and most effective time management of their schedule. 

The Administrative Assistant serves as the primary point of contact for internal and external contacts on all matters pertaining to those they support.

The person should have strong self-drive, good English and administrative skills.
You will also be highly responsive and proactive, self-disciplined and possess an overall great positive attitude.

Your Responsibilities:
  • Secure the execution of administrative duties during senior manager's absence from the office.
  • Coordinate, monitor, and screen information flow (mail, message, etc.) and respond to information requests to support business activities.
  • Ensure that relevant documents are archived according to Philip Morris International document retention policy.
  • Handle confidential information and maintain the security of the executive's records and files.
  • Coordinate arrangements for a variety of internal and external meetings in different locations and assemble appropriate material for meetings/conferences.
  • Responsible for sending out communications, cascading of announcements, reports & highlights and writing of correspondence.
  • Combine and update information from various sources, systems in order to make business related documents, reports and presentations and submit them for review.
  • Support of introduction process for new Management Team Members.
  • Respond to information requests, which require finding elements from various sources and prepare ad-hoc correspondence or reports.
Who we’re looking for
  • High school degree, or college diploma
  • 3-5 years’ experience in a multi-national Administrative Assistant Role.
  • Computer literacy, including MS Office & Teams required.
  • Able to work independently with demonstrated ability to be flexible and responsive.
  • Demonstrated strong interpersonal skills and comfortable working around senior management, ability to navigate geographies and time zones.
  • Must be a team player, willing to help wherever needed.
  • Proactive and able to work under pressure.
  • Understanding of the importance of discretion.
