Role Summary

The Project Support Technician is responsible for providing project support to the Project Engineering leadership team and Project Engineers. 

Primary accountabilities are: change control and documentation updates, investigations and CAPA support, on-boarding and off-boarding of contractors (contingent workers), scheduling and facilitating contractor safety training sessions, maintaining a contractor database, procurement support, and providing support to Project Engineers on capital projects at the RM plant.  The support accountabilities include timely and accurate response to a wide variety of requests.  This position will also assist Project Engineers with preparing and routing capital project funding documents (CPAs), issuing purchase requisitions, ordering equipment and furniture for projects, and be a resource to work with Pfizer representatives, contractors and accounts payable to resolve payment issues.

Specific Duties Include:

  • Change Control and Documentation Updates 
    • Identify all shutdown related projects
    • Work with Validation to determine if the projects require change control
    • Track and report on the status of the project and associated change control
    • Initiate change requests and perform updates for SOP’s, Forms and PM’s to ensure documents are compliant and correct
    • Create new SOP’s, Forms and PM’s
    • Complete Forms for new equipment asset numbers
    • Work with the EAMS team in updating project-related tasks to align with EAMS requirements
    • Initiate and complete change control records for minor validation changes in projects
    • Complete Action Items for change control records
    • Provide support for validation changes
  • Investigations Support
    • Initiate and perform investigations for specific project events to determine root cause and corrective / preventive actions (CAPAs).
    • Complete CAPA’s for investigations and regulatory observations.
    • Perform effectiveness verifications (EVs) to ensure CAPA’s were effective actions.
    • Ensure all investigations, CAPA’s and EV’s are completed by the due date.
    • Provide support to all areas in the plant for investigations.
    • Provide audit support as needed to provide timely data preparation for inspection requests.
    • Track CAPA’s, Action Items and EV’s assigned to project personnel to ensure they are completed on time.
    • Provide support in gathering necessary objective evidence for closure of CAPA’s, Action Items and EV’s assigned to project personnel.
    • Provide support for department personnel for control printed documents and Forms.
  • Contractor on-boarding/off-boarding and training
    • Plan, schedule and facilitate weekly construction contractor safety/security/GMP training sessions for 20-70 contractors. Training material to be provided.
    • On-board and off-board contractors.
    • Assist site Security, EHS, and HR with contractor badging process.
  • Capital Project Authorizations
    • Assist with the development and routing of electronic capital funding requests (CPA’s).
    • Facilitate requests for release of Contingency funding and Project Change Notices.
  • Procurement
    • Initiate capital purchase orders, change orders, and closures. Expedite PO’s and purchases as required.
    • Complete documentation to confirm compliance with the Foreign Corrupt Practices Act (FCPA) when dealing with suppliers outside the US.
    • Complete Bid Exception requests where appropriate with input from the Project Manager.
    • Work closely with all suppliers, vendors, and Procurement on all capital purchases.
    • Expedite PO’s and purchases as required.
    • Initiate and maintain vendor qualification documentation.
    • Maintain purchase order tracking logs and issue accrual guidance as needed.
    • Provide follow up with suppliers to assure timely deliveries and address any possible delays that may impact project schedule.
    • Resolve all PO discrepancies, between financial systems and with other enabling groups including GFSS, finance, procurement, and EAMS. 
    • Invoicing
    • Work with suppliers to ensure timely submittal and approval of invoices and milestone payments.
    • Expedite vendor and contractor invoices to help accurately reflect the value of receipts in capital cash flow.
    • Resolve all invoicing discrepancies and payment issues.
    • Shipping Receiving
    • Assist with local and international shipments.
    • Facilitate capital receiving and storage.  Maintain receipt inventory for capital projects. 
    • Maintain Pfizer confidentiality on bids, finances, and all other information.
  • General Support
    • Support, develop, and create spreadsheets and presentations to support periodic reporting and repetitive meetings.
    • Develop meeting agendas and presentations to support Engineering leadership.
    • Facilitate project closure for capital projects.  This includes: PO/Invoice reconciliations, drawing reconciliation, Cost accounts balanced, creation of asset capitalization form, GCR reconciliation, NOEM preparation,  and other tasks.
    • Support corporate procedures on capital and expense guidelines, corporate procurement guidelines, bid exceptions and other project management guidelines and practices. 
    • Support, execute, and handle routing processes for CPA’s, Project Initiation Forms, Project Engineer assignments, Single Purchase Capital Requests (SPCR’s), Project Change Notices, NOEM’s, Contingency Requests, Travel Requests, and other electronic routings.
    • Active participation on various departmental improvement and efficiency initiatives. 
    • Facilitate meetings as needed

BASIC QUALIDICATIONS
  • Bachelor’s Degree in business, finance, accounting, or a technical discipline plus 3 years of relevant experience OR Associate’s degree in business, finance, accounting or project management plus 10 years of relevant experience OR High School/GED plus 15 years of relevant experience.
  • Must be proficient in Microsoft Office (Excel, Word, PowerPoint, Visio, and SharePoint).
  • Excellent oral and written communication skills. Strong interpersonal skills, teamwork and problem solving skills. 

 
 

PHYSICAL/MENTAL REQUIREMENTS

General office environment work (standing, walking, sitting).

NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS

Generally, Monday to Friday, 8 hours.  Will require attending and facilitating an off-site contractor training session one day per week starting at 7:30am. Occasional overtime will be required.
