Summary

Reporting to the Senior Accounting Manager, the Payroll Specialist/Manager will be a sole-contributor and responsible for full payroll function, preparing full cycle payroll processing, handling day-to-day payroll matters and resolving payroll related issues. 

 

Responsibilities

  • Independently prepare and process semi-monthly payroll for CA and multi-state employees, in compliance with federal, state, and local payroll tax laws, timely and accurately
  • Ensure employee 401(k) and ESPP deductions are updated in ADP per employee change requests at each pay period
  • Handle statutory tax withholding requirements for multiple states related to out of state employees
  • Monitor timecard submissions and approval process in ADP Workforce
  • Process and submit employee stock options and ESPP income gains and related tax withholding through ADP
  • Subject matter expert in researching/understanding new rules and tax regulations pertaining to payroll and stock option programs
  • Maintain solid understanding of all federal and state payroll tax laws related to wages, garnishments, benefits, leave of absence, 401(k), ESPP, FSA, relocation benefits, etc.
  • Handle and resolve tax notices/inquiries as needed
  • Prepare month-end journal entries, accruals, and reconciliations related to areas of responsibility
  • Reconcile payroll related accounts (including 401K, ESPP, benefits, payroll taxes, etc.)
  • Prepare bonus accruals and reconciliation, vacation accruals and reconciliation and monthly accruals for medical benefit expense
  • Prepare and reconcile year-end reporting preparations, such as W-2 reporting
  • Assist with quarterly and year-end audit requests from external auditors related to areas of responsibility
  • Ensure payroll process and procedures are compliant with SOX controls

Qualifications

  • Bachelor’s Degree in Accounting/Finance
  • 5+ years’ full cycle payroll experience, solid knowledge in payroll law. General ledger accounting (preparing payroll entries and account reconciliation) and equity administration experience a plus 
  • ADP Workforce required; Concur and NetSuite experience preferred
  • Systems-savvy and proficient with Microsoft Office, especially strong Excel
  • Detail-oriented and capable of producing high-quality work independently with integrity
  • Positive team-player, who can take ownership of assigned responsibilities
  • Good verbal and communication skills with proven ability to interact with various departments and levels, daily, including senior management
