Job Description:

The role of the Candidate Care Coordinator, North America and Global Executive Search is integral to the success of Ipsen’s Talent Capabilities and internal Executive Search function.

This individual will focus on the candidate experience, ensuring a high touch service with all candidates while keeping key stakeholders informed.  He/she will develop standard operating procedures for all candidate care processes and maintain handbook to ensure consistent experience for all hiring teams and candidates.  He/she will help with coordination of candidates for anticipated future positions within the organization. Focused on building talent communities and pipelines for critical positions the right candidate will leverage the Executive Search team to help with reports, spreadsheets and Candidate Relationship Management system databases.

Main responsibilities / job expectations

  • Work closely with Talent Acquisition team in North America and Executive Search to coordinate interviews for candidates
  • Extensive scheduling and complex calendar management across multiple time zones and functions
  • Schedule and organize phone calls, video conferences and in-person interviews and meetings
  • Act as the face of the Talent Acquisition and Executive Search team to each candidate and responds timely to critical requests to ensure the process moves swiftly
  • As needed, arrange and coordinate travel schedules and itineraries using resources and knowledge of airlines, airports, ground transportation, accommodations, etc., to make thoughtful and efficient travel plans for candidates, considering corporate policies
  • Develop and refine internal processes in order to create a first in class candidate experience from the first point of candidate contact through onboarding as the owner of candidate care
  • Maintain reporting and scheduling of the strong pipeline of qualified talent to submit to current and future client base

Knowledge, abilities & experience


  • Bachelor’s degree and 2+ years of experience in coordinating interviews, meetings in a highly matrixed organization
  • Interest in finding strategic and creative ways to solve problems
  • Experience working with large complex organizations during periods of growth and change
  • Proven experience in developing strong relationships through establishing trust and credibility with colleagues and candidates
  • Must be proficient in the following applications: MS Word, MS Excel, MS PowerPoint, MS Outlook
  • Must be flexible, able to manage multiple tasks, and have strong attention to detail
  • Outstanding communication skills; ability to communicate in a clear, concise, and effective manner
  • Strong business acumen with an understanding of how strategic talent acquisition impacts the business
  • Bold and courageous with an ability to understand cultural and political nuance
  • Able to work within a matrix environment with proven track record of effectively influencing and navigating across organizational and geographical boundaries and building relationships that produce results
  • Ability to identify ongoing and anticipate upcoming needs of the organization and take steps to foster relationships with candidates before positions are needed or created
  • Ability to handle sensitive and confidential information appropriately
  • Passion for the patient and drive for results orientation
