The position provides administrative support to the Corporate Communications & Citizenship senior executive and leadership team, as well as team-level support for the spectrum of integrated communications and citizenship functions, including Internal and External/Digital Communications, Product and Pipeline Communications, Patient Advocacy, Corporate Responsibility and Community Engagement. This is a fantastic opportunity to provide essential day-to-day support of a multi-functional team in a fast-paced and collaborative work environment.

Summary:

  • Provide advanced coordination of administrative duties, organizational tasks, meetings and activities and schedules. 
  • Support flawless, high-impact event execution and meaningful employee volunteer experiences.
  • Identify and implement a highly efficient administrative workflow and initiate process improvement.   
  • Work with all levels of stakeholders and understand key relationships.
  • Advanced knowledge of company policies, procedures and resources 
  • Exercises considerable judgement and initiative, problem solving and works with minimal guidance. 

In this role, a typical day might include:

  • Supporting team leads with daily administrative/organizational tasks like calendar management, coordinating travel, processing expenses and technical support
  • Organizing complex travel arrangements and logistics for Assoc. Directors and above in the department. Assisting guests with travel, where applicable
  • Coordinating logistics of internal/external meetings and events, including but not limited to employee forums, volunteer programs, external stakeholder and team and committee meetings
    • Tasks may include: scheduling, booking meeting rooms, coordinating A/V, ordering food, preparing agendas, greeting guests, budget oversight, etc.
  • Actively managing and updating department contact lists/org charts, monthly expense reports
  • Proactively monitoring and managing department needs with procurement, vendor maintenance and accounts payable, manage MSA, SOW, NDAs, purchase order requests and setting up new vendors 
  • Coordinating multiple administrative workflows within the department to streamline increasingly complex processes, troubleshoot and recommend solutions to issues
  • Onboarding new employees within the department, including coordination with IT, Facilities, and Procurement.  Assists with department space planning. 
  • Support employee giving programs, e.g., volunteering and matching gift programs; and perform online portal administrative tasks including managing requests, data entry, and customer service/help desk 
  • Assist with special projects and other tasks as needed 
     

This role might be for you if you:

  • Have worked in a corporate communications, CSR/Citizenship department
  • Have supported a highly organized and efficient administrative workflow.
  • Have demonstrated organizational knowledge and ability to understand department and leader priorities, larger context and greater impact
  • Are highly collaborative with strong written and verbal communication skills
  • Have the ability to interact across all levels of employees and management while maintaining confidentiality.
  • Can anticipate the needs of leaders and teams in order to proactively manage calendars, problem solve all logistics if scheduling conflicts occur. 
  • Have identified, developed and/or supported administrative process improvements.
  • Have meeting and event planning experience and have been fully responsible for logistics/execution, including: planning, guest coordination and agendas
  • Have effectively managed procurement across a department
  • Are experienced in Microsoft Office including Word, Excel and Powerpoint

To be considered for this role, it is preferred that you have a Bachelor’s degree, as well as 8+ years administrative experience with 4 years of business function and/or industry experience.
