Job Description

Job Summary

Position will support the U.S. Marketing teams in the planning, execution, and implementation of disease and on-label promotional programs. This individual will report to the Sr. Director, US Marketing – Product and Customer Experience, and will work closely with Marketing, Medical Affairs, Sales, Sales Training, Sales Force Effectiveness, Commercial Operations, Contracting/pricing, and Legal/Regulatory. The position requires strong project management skills along with experience in Material Copy Clearance, Planning National Sales Meetings and experience with Local/Regional/National Conventions and Conference. The candidate must have a proven ability to manage external vendors and coordinate and successfully implement multiple projects simultaneously.

Principal Accountabilities

Leadership and Management

  • Manage the marketing operations team – (MCC Coordinator and Business Operations Manager)

  • Create processes, guidelines, best practices for: online marketing store inventory management, submission of new and revised master service agreements and task orders in the legal contracting system, coordination for the creation of POs and payment of incoming invoices

  • Logistical owner for all National Sales Meetings, manages the meeting vendor, organizing all logistical pieces of the event, including, venue, meeting and breakout space, meals, evening events, signage, audio visual and other miscellaneous event details

  • Coordinate with Sales Force Effectiveness team for Veeva CRM as it relates to new/modified promotional and/or training materials, new requests for functionality as well as reporting and analytics

  • Partner with marketing on convention/conference needs, booth vendor management, ensuring booth and materials available at each event.  Ensure all compliance related training is complete and records retained

  • Manage TGaS relationship, contract, task orders and marketing related projects, as well as maintain the VHoW alignment across the commercial organization    

Material Copy Clearance

  • MCC - Serve as the centralized 'knowledge hub' of the Material Copy Clearance Process, providing guidance to project owners on process. Partner with Compliance and Ethics to implement US specific procedures in alignment with the global handbook, resolve escalated issues.  Partner with IT and vendor to ensure system availability

Commercial Planning Calendar

  • Manage the commercial planning calendar in partnership with Business Operations Manager to ensure all key elements of US Commercial Organization and the Flu selling cycle. This will allow the optimization of the ongoing business of the commercial organization and ensure no key element of the business is missed.

Budget Management and processes

  • Ensure the commercial organization budget is managed and spend is tracking based on current budget estimates. This will be in concert with marketing managers and commercial assistants.

  • Support the execution of contracts, SOW/TOs and IR/GR process.

Qualifications
  • Bachelor’s degree required

  • 7+ years’ relevant commercial operations experience

  • Experience diagnosing and resolving complex issues

  • Knowledge of relevant legal, compliance and regulatory requirements

  • Experience working with vendors and internal stakeholders

  • High impact leadership skills, including setting a clear vision and strategy, communicating to stakeholders, driving urgency and results.

  • Strong interpersonal skills and the ability to collaborate successfully and build relationships with internal teams, vendors and agencies as required.

  • Strong project management skills including partner alignment, road mapping, achievement delivery and cross-functional leadership.

  • Ability to manage large cross-functional projects, understanding business requirements fully and translating into technical solutions and workflows.

  • Demonstrated leadership between business needs and technology solutions, leading discussions on workflows and processes while keeping the end user top of mind.

  • Coaches, trains, reviews and delegates work to other professionals as needed.
