GENERAL SUMMARY:
We are looking for a talented Mid to Sr. level Administrative Assistant/Executive Assistant to work closely with our growing HR Team. This person will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource and finance departments. They will report to the CHRO with a dotted line to our EA. This is a full-time 6-month contract role with the possibility to convert to full-time in 2022.
Responsibilities:
- Administration Support: 50%
- Assist with planning and scheduling of HR events such as All-Hands meetings, new hire orientations, benefits enrollment meetings, organization-wide meetings, employee recognition events, holiday parties, and ad-hoc meetings with the HR team. Adding new hires to ongoing meetings already scheduled.
- Manage our employee lunch program, adding and removing employees as needed and act as communication point person for our lab staff’s daily lunch program.
- Manage vendor set up process for expenses in 4DMT’s accounting software, Coupa
- File and organized management of contracts for HR Department
- Update and file all important documents, audit electronic files for accuracy, naming convention usage, clear path to make them easier to find.
- Act as back up to HR/CFO EA on projects, tasks and events as needed
- Recruiting/Onboarding Support: 50%
- Add job descriptions to our applicant tracking system, Lever
- Work with the Director, HRBP – ensure candidates and data integrity in Lever
- Track and file confidentiality agreements and non-disclosure agreements
- Maintain staffing data and generate data for weekly executive team presentations
- Update and maintain files relating to candidate and new hire documentation
- Social media content management of recruitment sites like LinkedIn, Glassdoor etc.
- New hire SWAG management in partnership with HR Administrator and Facilities team

Qualifications
- Education:
- Bachelor's degree required
- Experience:
- 5 + years of administrative or Executive Admin experience
- Previous experience in HR or EA preferred
- Skills:
- Interest in a Human Resources or Executive Assistant career path
- Comfortable working in software systems: HRIS, ATS, Accounting systems – experience with Lever, TriNet, Coupa a plus
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite, specifically SharePoint and Outlook
- Proficient with or the ability to quickly learn HR applications and other tools/technology
- Physical Requirements:
- Ability to sit for extended periods of time working on a computer. Ability to interact with computer software applications and on-line video conference and communication tools used for most of the workday.
- This position will be remote until it is safe to return to the Emeryville office

4DMT is a gene therapy company with a transformative discovery platform --Therapeutic Vector Evolution --that enables our “disease first” approach to product discovery and development, thereby allowing us to customize our AAV vectors to target specific tissue types associated with the underlying disease.
At 4DMT we are creating and developing optimized “biopharmaceutical grade” AAV vectors that will allow us uniquely to unlock the full potential of gene therapy. Our customized and proprietary AAV vectors are each designed, according to a 4DMT Target Vector Profile, to deliver genes to specific cells and tissues in the body to eradicate both rare and large market diseases.
While AAV gene therapy pioneers are making great strides with the first wave of products, hurdles still exist with the use of conventional vectors. The most commonly used AAV capsids (e.g., AAV2, 5, 8 and 9) were identified either 1) as contaminants in lab stocks of adenovirus, or 2) through monkey tissue processing. Therefore, these conventional vectors are not targeted specifically to any tissue in the body. This can lead to inefficient and non-specific delivery, thus requiring extremely high doses and potentially resulting in toxicities (including inflammation), high manufacturing burdens and suboptimal efficacy. In addition, suboptimal routes of delivery can be required for delivery to the right tissues (e.g., subretinal delivery to the retina). Finally, pre-existing neutralizing antibodies in many patients can limit efficacy, clinical trial enrollment and market sizes. 4DMT Innovation empowers us to create new and improved next generation AAV capsids to allow targeted delivery of our products by the optimal clinical route of administration.
At 4DMT we use our robust discovery platform, termed “Therapeutic Vector Evolution,” to create customized and proprietary gene delivery vehicles (novel AAV vectors) to deliver genes to specific tissues and cells in the body by the optimal route of administration. We use the power of evolution to create and refine these optimized vectors through genetic diversification and then natural selection in vivo.
