Position Summary:

Provide primary administrative support to the Clinical Science and Pharmacovigilance departments.  Will also provide back-up support to other Development Operations functions.  This is a full-time position.

Essential Duties and Responsibilities:

  • Provide administrative support to Head of Clinical Science and Vice President of Pharmacovigilance and their management team
  • Act as a central contact for the Pharmacovigilance and Clinical Science teams for designated project communications, correspondence and associated documentations (NDA, consulting agreements)
  • Setting up meetings and conference calls, often involving internal personnel and/or external parties, encompassing the use of audio and web-based meeting technologies
  • Manage PO requisitions and contracts (and maintenance activities thereof) for Pharmacovigilance and Clinical Science teams; act as liaison to Finance personnel
  • Track departmental budgets
  • Create agendas and take minutes for department/program, team meetings
  • Maintaining day-to-day calendar and recurring meetings
  • Ability to work independently with minimal supervision
  • Handle confidential material with appropriate discretion
  • Serve as a collaborative member of the administrative team and provide support/back-up, as needed
  • Plan and coordinate study kick-off meetings, advisory board meetings, conference meetings, and off-site team meetings
  • Travel to conferences or meetings to provide onsite support, as necessary (total travel < 10%)
  • Coordinate multi-leg domestic and international travels
  • Coordinate recruiting efforts by working with human resources to schedule interviews, arrange travel, escort candidates, etc. as necessary


  • A minimum of 8 years of administrative experience (biotech preferred) in increasing positions of responsibility
  • Ability to function in a fast-paced working environment
  • Flexibility with regard to job activities and duties
  • Ability to multi task and shift priorities quickly and simultaneously
  • Strong knowledge of MS Office; Excel, Word, PowerPoint, Outlook
  • Experience with CONCUR (compile, submit, and track expense reports)
  • Experience with Zycus (preferred)
  • Excellent analytical, planning/organizational skills with strong attention to detail
  • Ability to effectively communicate and share knowledge with internal and external contacts at all levels
  • Proven ability to work under tight deadlines and pressure in a composed and professional manner
  • Ability and willingness to proactively recognize and address departmental needs
  • Must have excellent customer-service orientation, high degree of professionalism, and be a strong team player
