Amgens International and State Government Affairs & Policy function located in Washington, DC is seeking an Administrative Coordinator (AC) based in Washington, DC. Basic duties include providing administrative support to specific members of the International and State Government Affairs team, as well as broad-based support to the team at-large.

Key responsibilities include:

  • Manage calendars and scheduling meetings
  • Prepare and process expense reports
  • Coordinate and make travel arrangements
  • Prepare and process lobby disclosure forms
  • Process and submit invoices and check requests
  • Work with our political contributions vendor to submit check requests
  • Work with our lobbying compliance vendor to ensure lobby registration and reporting requirements
  • Work with Amgen compliance team to process sponsorships and memberships
  • Copy, distribute and maintain documents for external meetings
  • Plan and execute logistics for internal and external meetings including scheduling, catering, receiving visitors, and A/V equipment needs
  • Assist with the preparation and creation of PowerPoint slides/presentations and other materials
  • Serve as back-up for other Administrative Coordinators if they are unavailable, including support for senior team
  • Work with executive director to track budget
  • Take-on assigned tasks as they occur

Basic Qualifications:

Bachelors degree

OR

Associates degree and 2 years of Administrative experience

OR

High school diploma/GED and 4 years of Administrative experience

Preferred Qualifications:

  • Strong experience in an administrative support role supporting large teams at different levels
  • Strong working knowledge and experience in Microsoft Office: Outlook, Word, PowerPoint, Excel and Adobe Pro, Box, MS Teams
  • Strong working knowledge and experience in managing and maintaining multiple calendars
  • Strong working knowledge and experience in arranging multi-destination travel/international travel for multiple travels
  • Ability to liaise with cross-functional team members and effectively communicate with internal and external business partners
  • Ability to work in a fast-paced, deadline-driven environment
  • Discretion in dealing with proprietary information
  • Exceptional at managing multiple calendars including coordination across multiple time zones
  • Ability to prioritize projects of greater urgency and importance
  • Outstanding communication skills, both oral and written
  • Excellent organizational and time-management skills
  • Excellent travel and meeting planning skills
  • Experience providing administrative support to remote staff
  • Helpful, can-do attitude with a solution-oriented approach
  • Polite and personable team player
  • Skilled at remaining calm under pressure
  • Experience working in biopharma industry
