Who You Are:

We are looking for a professional, take-charge Executive Assistant to keep business operations organized, on track, and moving forward. A true Business Partner to the CFO,  the ideal candidate must possess strong communication skills (both written and oral), the ability to efficiently multi-task in a fast-paced environment, and the capability to work independently with initiative, discretion, and a high level of confidentiality. You will ensure that the Executive’s productivity is enhanced by managing calendar and schedule priorities. You must have the ability to oversee high-priority assignments and foster and maintain strong working relationships within all levels of the company and with outside vendors and contacts. You will create and/or modify presentations as needed, manage complex assignments with high levels of detail orientation, and utilize your considerable judgment, initiative, and specialized knowledge to resolve problems and advise recommended solutions. You are self-motivated, and an independent worker; your tasks will be completed with minimal supervision.  

  • Manage CFO schedule and calendar, requiring regular coordination with the Office of the CEO
  • Facilitate coordination and booking of internal and external meetings, including staff meetings, executive briefings, all-hands meetings, QBRs, and off-site meetings and events
  • Proactively manage calendar requests and conflicts; make sure that personal obligations are detailed to avoid conflict and ensure no appointments are missed
  • Assist with F&B arrangements, meeting needs, agenda support, and note-taking
  • Ensure meeting agendas and clarifying context is provided to both CFO and meeting participants
  • Manage travel (flights, accommodations, car) arrangements for domestic and international travel
  • Process expense reports and receipts in a timely manner
  • Provide onboarding support for new vendors and agencies when needed, ensuring they have the proper access and documents/enablement required
  • Provide ad-hoc project management such as following up on meeting action items

Education, Experience & Skills Requirements:
  • 7-10 years of Executive Assistance experience, preferably supporting a CFO or CEO at a large publicly-traded company OR within a top-tier investment banking system or Private Equity / Venture Capital Fund or consulting firm
  • Experience and ability to support C-Level Executives in a high-intensity environment
  • Meticulous with details and effective communicator
  • Assertiveness, proactivity, professionalism, and confidence
  • One step ahead work ethic, attitude, and approach
  • Ability to drive schedules and agendas with an acute understanding of the context/content and objective
  • Strong teamwork and interpersonal skills, with a desire to offer suggestions and improvements
  • Superior communication skills with the ability to work across all levels, internally and externally
  • Highest levels of confidentiality
  • Desire to grow and take on your projects and work under pressure while consistently meeting deadlines
  • Experience working with all levels of management, employees, vendors, and customers
  • Ability to travel occasionally to provide support at events/conferences
  • Highly proficient with MS Office applications, including Outlook, Word, PowerPoint, SharePoint, and Excel
