Job Description:

The IPSEN Field Operations Team needs a Field Operations Specialist coordinator to support its growing activities for users. The Field Operations Specialist will administer digital learning tools, coordinate Instructor-lead training events, organize and host field new hire training. The FOS will get trained on these missions during the onboarding process. This position offers a high level of exposure to different situations, and many opportunities to meet with employees from all over the company. The FOS will also assist in the coordination and planning of large scale company meetings and congresses.

Responsibilities will include, but are not limited to, the following:

Digital Learning Management:
  • Responsible for the administration of all digital learning and training platforms (Cornerstone OnDemand, Brainshark, Scrimmage Mobile Learning for iPad, Virtual class/calls via Adobe Connect/Skype/Bluejeans)
  • User Support: meet the needs of all end users, in office, on the field, in the USA and Canada (both during their onboarding and on a day-to-day basis)
  • Record and track all training activities in Ipsen Learning Platform (internal LMS)
  • Run reports for Sales trainings, other departments, and Global training
  • Test and manage content (download, update, organize)
  • Participate in the continuous improvement of tools: manage and communicate on updates pushed by providers/external vendors, work with providers' support teams to develop new solutions and fix technical issues
  • Participate in the update and upgrade of the Ipsen Learning Platform with the Global training team and Training specialists from other countries


Instructor-Lead Training Organization & Coordination:
  • Coordinate and Schedule training activities
  • Field New Hire Onboarding Coordination and Execution
  • Communicate internally on trainings/events (Email calendar invitations, reminders, follow up, etc.)
  • Manage trainings logistics: order materials/equipment needed, manage storage, set up training rooms, assist with any trainee needs during classes, tidy up and clean training equipment after class
  • Trip coordination with employees and travel agencies
  • Book internal or external Meeting/Training space
  • Procurement: creation of Purchase orders on the Finance software (SAP) and management of orders, invoices, payments, deliveries, receptions


Meeting and Congress Planning:

  • Book internal or external Meeting/Training space

Qualifications:

Education
  • Bachelor from a Business School or University
  • Information System major would be a plus
  • Fluent in English
  • Any additional educational and/or technical certifications in the related field would be considered a plus.


Experience
  • Information System and computer Skills: LMS and LCMS administration, good knowledge and confident with digital and mobile learning technologies, understanding of software configuration and specifications
  • A can-do attitude, problem-solving orientation and a constant Customer Service Focus are a must for this position
  • Strong organization, time management and project coordination skills: Capacity to handle multiple tasks simultaneously - in an efficient way especially when working both on multiple instant user requests, and long-term projects.
  • Strong interpersonal communication skills with the ability to interface with individuals from a variety of roles and cultures
  • Able to work as part of a team in a fast-paced environment, as well as independently on IS systems, and to adapt quickly to changes
  • Proficient with Microsoft Office (Outlook, Excel, Word and PowerPoint)
